Currently, we are looking for a passionate and energetic Senior Operations Coordinator to be based in the Industrial Projects Team. In this role, the successful candidate will deliver high quality / innovative products, services / solutions to customers focusing on their requirements, and build a strong relationship with key stakeholders to ensure customer loyalty to DGF. He or she will establish relationship selling to gain new business and increase share of wallet and executing transactional logistics operations set within the process guidelines/ SOP / HSE policies and to ensure that all KPI's are met. Similarly, the successful candidate will proactively seeks internal stakeholder support to meet customer needs and will handle all import, export, and cross trade OFR/ AFR / RFR shipments. Lastly, he or she will ensure ad hoc project handling which will including ad hoc quotes and end to end operational accountability along with reporting as and when needed.
Key Responsibilities
- Ensure all actions are taken in adherence to client specific SOPs to meet all hub & shipment KPI’s and SLA’s.
- To handle all import, export, and cross trade OFR/ AFR / RFR shipments.
- Proactively coordinate with respective product operations (AFR/OFR/RF/Network) to ensure shipments are executed on time. Proactively monitor and track the progress of the shipment from departure to arrival and ensure all internal / external stakeholders are updated of any deviations and exceptions. Pre-alerts are sent promptly and accurately.
- Proactively provide cost effective solutions to the customer, for freight movements with options on MOT / Transit time and seek customer approval prior to execution along with involving the pricing team for high revenue / complex pricing opportunities.
- Discuss on PD key updates from clients as a part of improving client experience & increasing GP / Rev
- Review hand overs and ensure proper planning, execution & invoicing of shipments.
- Proactively coordinate with respective product operations (AFR/OFR/RF/Network) to ensure shipments are executed on time. Proactively monitor and track the progress of the shipment from departure to arrival and ensure all internal / external stakeholders are updated of any deviations and exceptions. Pre-alerts are sent promptly and accurately.
- Client trackers to be updated and sent as per agreed SLA with customer.
- Review the commercial & operational performance of the accounts with supervisor / managers once a month and find innovative solutions to reduce cost, improve processes, increase revenue and share of wallet.
- Follow up with customer on open quotations and receive feedback for lost opportunities. Share feedback with line manager / pricing team. Leveraging client relationship to increase share of wallet / logistics spend
- Collaborate with KAM / BDM/BDE for preparation of MBR / QBR meetings and attending as required.
- Ensure solutions are provided to customer requests and escalations are handled without supervisor involvement, along with keeping internal / external stakeholder appraised
- Actively seek and report operational process gaps / errors to line manager, with an aim to continuous improvement.
- Collaborate with network offices and seek specific country and trade compliance requirements prior shipment execution.
- Provide forecast and on upcoming customer shipments, projects, to KAMs and provide intelligence on key competitor solutions
- Drive the timely and accurate quotation of solutions to customer and maintain a dialogue of the tracker with the pricing team and KAMs
- Quoting Ad hoc quotes as and when needed when handling projects.
- Ensuring reporting of trackers for KPI performance is maintained for ad hoc projects.
- Complete end to end operational accountability for assigned project.
- Ensure 100% compliance to HSE standards and trade compliance are maintained at all times.
- Executes break bulk / OOG/ RoRo/ defense (MUW) cargo in accordance to the SOP and WI’s.
- Monitoring and taking accountability for Critical / Project shipments as and when required by the business.
- Acts as subject matter expert for the team and assists in training & mentoring the new hires on core IP processes. Takes lead to address issues and helps identifying processes gaps observed through regular PD discussions and handling of shipments.
- Acts as a BCP contact and provides intermediate support/back up to the team in absence of Supervisor
Job Skills, Qualifications & Experience:
- Minimum 3-5 years relevant experience Knowledge of Import, Export, Cross Trade for Air / Ocean / Road Freight & Knowledge to handle Import / Export breakbulk operations and Special Equipment Operations (Flat Rack / Open Top Containers / RORO) - Freight Forwarding Industry
- Graduate in any discipline
- MBA (added advantage)
- International Logistics - Transportation Management
- System proficiency – Global Transport Management, Warehouse Management
- Cost Management
- INCOTERMS
- Knowledge of Import, Export, Cross Trade for Air / Ocean / Road Freight
