Job Description
We are seeking a detail-oriented and highly organized
Document Controller to join our team. The ideal candidate will be an expert in document management programs and tools, responsible for maintaining accurate records of all unit documents. This role involves organizing, archiving, and regularly updating documents to ensure seamless access and retrieval.
Key Responsibilities
- Document Management:
- Utilize advanced document management software and tools to organize and maintain records.
- Ensure that all documents are accurately labeled, categorized, and stored in compliance with company policies and regulatory requirements.
- Regularly update document management systems to reflect the latest versions and changes.
- Record Keeping:
- Maintain comprehensive and accurate records of all unit documents, including contracts, reports, technical drawings, and correspondence.
- Track document statuses, ensuring that all required documents are up-to-date and accessible to authorized personnel.
- Implement and maintain document control procedures to ensure consistency and accuracy across all records.
- Organization and Archiving:
- Systematically organize and archive documents, ensuring easy retrieval and reference when needed.
- Develop and maintain an efficient filing system, both digital and physical, to manage the large volume of documents.
- Ensure that archived documents are stored securely and are retrievable in accordance with retention schedules.
- Document Updates:
- Regularly review and update documents to ensure they reflect the latest information, standards, and practices.
- Coordinate with relevant departments to ensure timely submission of updated documents.
- Implement version control procedures to track document revisions and updates.
- Quality Assurance:
- Conduct regular audits of document management processes to ensure compliance with internal and external standards.
- Identify and resolve any discrepancies or inconsistencies in document records.
- Provide training and support to staff on document management procedures and best practices.
- Collaboration and Communication:
- Work closely with various departments to gather, review, and manage documentation requirements.
- Serve as the point of contact for document-related inquiries, providing assistance and guidance as needed.
- Prepare and distribute document status reports to management and relevant stakeholders.
Qualifications
- Bachelor’s degree in Business Administration, Information Management, or a related field is preferred.
- Proven experience as a Document Controller or similar role, with expertise in document management programs and tools.
- Strong organizational skills with a keen attention to detail.
- Proficiency in document management software (e.g., SharePoint, Documentum, Aconex).
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team in a fast-paced environment.
- Knowledge of industry standards and regulatory requirements related to document control.
