Officer – Asset Management

JOB PURPOSE:

Supervise and Maintain day to day Asset Management activities in coordination with the Physical Resources and Finance Team. The assigned responsibilities involve the storage, control, and delivery of supplies and equipment, including maintaining perpetual inventories, ensuring proper storage and maintenance of University’s physical assets


JOB ACCOUNTABILITIES LINKED TO OBJECTIVE AREAS:


  • Carry out the day-to-day operations of the University’s Asset Management activities in coordination with Finance and Physical Resources.
  • Develop and implement efficient inventory management systems to track and reconcile the university's assets.
  • Conduct regular physical audits and count to verify the accuracy of inventory records.
  • Collaborate with different departments to identify and resolve any discrepancies in asset records.
  • Coordinate maintenance and repair activities for all university assets, including equipment, buildings, and facilities.
  • Develop and maintain relationships with outside vendors, contractors, and maintenance teams to ensure timely and cost-effective repairs.
  • Ensure compliance with safety regulations and standards related to asset maintenance.
  • Implement and enforce security measures to protect the university's assets from theft, damage, or unauthorized access.
  • Develop and implement policies and procedures to mitigate risks associated with asset ownership.
  • Conduct regular security audits and risk assessments to identify areas for improvement.
  • Manage the disposal of surplus assets, including disposal of obsolete or no longer needed items.
  • Conduct due diligence to ensure responsible disposal of assets in accordance with legal requirements.
  • Develop and implement strategies to maximize the value and minimize costs associated with asset disposal.
  • Receive and dispatch material and equipment to relevant requesters according to CUD policies and procedures.
  • Maintain records and files associated with receipt, distribution, and release of supplies and monitor recurring payments, ensure appropriate documentation and approvals are in place for the same.
  • Liaise with Accounts to close the Purchase Order (PO) in the system, also ensure optimum payment methods are identified, and appropriate account codes are applied.
  • Ensure all assets are recorded and barcoded/tagged with RF ID in the asset register.
  • Perform physical asset verification and submit reports, monitor, and review the allocation of assets in accordance with the relevant policy and procedures.
  • Provide monthly reports as per the Management requirements of the purchase and physical asset records.

Qualifications & Experience

  • Bachelors Degree in Engineering, Business Administration of Facility Management
  • Experience in management reporting
  • Strong Excel Skills
  • Experience in Oracle Procurement and Asset Management is an added advantage
  • Knowledge and experience of working in a university environment is an advantage.
