A dedicated and highly organized Personal Assistant is needed to support Managing Director of FTA in day-to-day tasks, ensuring efficient management of schedules, communications, and personal projects. The ideal candidate will possess excellent organizational and multitasking skills, attention to detail, and a proactive approach to problem-solving.
Key Responsibilities:
- Calendar Management: Schedule meetings, appointments, and events, ensuring effective time management and preventing conflicts.
- Travel Coordination: Arrange domestic and international travel plans, including booking flights, hotels, and transportation.
- Communication Handling: Act as the primary point of contact for phone calls, emails, and correspondence; respond promptly and professionally on behalf of the executive.
- Task Prioritization: Manage a wide range of personal and professional tasks, setting priorities and ensuring deadlines are met.
- Document Preparation: Draft, edit, and proofread reports, presentations, and other documents as needed.
- Expense Tracking: Manage and submit expense reports, invoices, and budgets, maintaining accuracy and timeliness.
- Personal Errands: Handle personal tasks and errands as required, including shopping, organizing, and other household duties.
- Event Planning: Assist in organizing events, dinners, or social gatherings by coordinating with vendors, venues, and guests.
- Confidentiality: Handle sensitive information with discretion and maintain the highest level of confidentiality.
Key Qualifications:
- Experience: 2 years of experience as a Personal Assistant or in a similar role.
- Skills: Strong organizational and time management skills with the ability to multitask.
- Tech Savvy: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and project management tools.
- Communication: Excellent verbal and written communication skills.
- Problem-Solving: Ability to anticipate needs, take initiative, and solve problems independently.
- Flexibility: Adaptable and able to work in a fast-paced environment, occasionally outside of regular office hours.
- Discretion: Ability to manage confidential information and maintain trustworthiness.
