In this Operations Coordinator position
- Support the team to follow Safety Standards and to help reduce or eliminate health and safety related risks
- Coordinate the team as required to apply the Safety Standards
- Use the Behavioural Based Safety (BBS) program on a daily basis to ensure appropriate behaviours and processes are followed as required
- Undertake basic low level incident investigations within the work place and promptly escalate issues of non compliance to safety regulations and procedures
- Have clear understanding of Objectives & KPIs applicable to your role and to your team
- Communicate productivity and direct hours targets to your team ensuring they have a clear understanding of what is expected from them - including communication to new hires
- Have a clear understanding of Roles & Responsibilities applicable to your role and to your team
- Develop your TDM according to your Roles & Responsibilities and validate it with your immediate leader
- Follow your TDM and review it if necessary, validating it with your immediate leader
- Escalate and make observations on resource planning to the responsible planning team/representative on daily/weekly basis.
Escalate and make observations for equipment availability. - Track team and individual performance of your employees as per your site's KPI tree. Ensuring KPI tree includes:
- Productivty, Dispersion, Variance
- Direct & Indirect Hours (including Set up time) - Review allocation of time and workload in the Labor Management applications used by colleagues, reflecting the actual operational activity.
- Track attendance of your employees at individual level and indicate deviationso the responsible planning team/representative to update the resource planning (if needed)
- Track overtime of your employees at individual level and understand deviations
- Track the agreed Quality KPIs at individual level and address these issues during performance reviews with employees
- Have clear understanding of Performance Tracking Tool (data system) applicable to your role.
- Contribute towards performance tracking improvement, by sharing the output of performance review and process confirmations within Standard Productivity Rate reviews,
- Support the Work Instructions (WI) review process of your area, including understanding and detailing best practices and deviations that may occur during the process' execution.
- Agree the SPR set for the work instruction is realistic following the process steps in the work instructions and is up to date.
- Identify Work Instructions that need reviews based on colleague feedback and Standards deviation and indicate them to the second level management.
- Ensure your employees are properly trained as per the training matrix established for each position, including onboarding trainings to new hires.
- Ensure employees are assigned to Excellence School continuous trainings to ensure people development and continuous improvement culture as part of site routine in order to reduce dispersion. Share best practices and lessons learnt.
- Ensure adhoc trainings are organized for colleagues who are deviating from safety, quality and performance standards.
- Ensure adherence to excellence school schedule. Escalate any issues with the compliance.
- Prepare and execute the shift handover with your colleague of the next shift
- Participate on shift handover with your colleague of previous shift
- Conduct informal performance reviews with low & high performing employees as per KPI tree for individual management.
- Conduct formal performance reviews with 100% of your employees as per KPI tree for individual management.
- Ensure availability of performance information (as per KPI tree) and participate in tier 2 tactical meeting (second line leadership meeting), discussing shift’s needs and priorities and escalations from Tier 1 PDs.
- Conduct Tier 1 Performance dialogues with your team, ensuring clear communication regarding site’s performance indicators and improvement actions in process. Ensure progress of all actions is checked and fed back to colleagues.
- Track your KPI results as established on your respective KPI Tree and escalate unresolved issues, challenges and opportunities to your Second Line Leadership during the Critical Analysis Meeting.
- Conduct Process Confirmation as per site agreed schedule and coverage, in order to identify deviations’ root causes and new best practices [individual]
- Ensure adherence to process confirmation schedule. Escalate any issues with the compliance.
- Identify improvement opportunities during Performance Reviews and Process Confirmations with your team, encouraging them to suggest improvement ideas on their processes and in the overall operation as well
- Document improvement opportunties with your team on the proper form / template and share them with the person responsible for CI projects on your site and your Second Level of management, ensuring they are logged and followed up and escalated if any issue.
- Provide visibility of number of improvement opportunities identified to Second Level of management
- Communicate the status of ideas to the employees who initially raised them to you as per site agreed time scales.
- Use First Choice tools to drive continous improvement initiatives. Escalate where additonal help is required based on the complexity of the problem.
- Have full understanding of how the recognition program works to be able to answer shop floor employees' questions
- Liaise with suppliers following clear guidelines.
- Continuous tracking of who is getting the reward and recognition from your team when the initiative is in place and communicate to shop floor employees the level of award they are getting and why during the formal performance reviews
- Communicate the recognition and engagement activities to the shop floor team and encourage them to take part in the initiatives for engaging people with the organization
- Communicate the Go Green, Go Help and Go Teach activities to the shop floor team and encourage them to take part in the initiatives for engaging people with the community
- Control your operational processes (inbound, picking, outbound, etc), fulfilling service level agreed and deadlines established - Hourly, per product groups (if applicable)
- Support and coordinate the team to drive an engagement culture at the site, including contributing to EOS opportunities and activities
- Participate in CSR (Corporate Social Responsibility) activities and support management engage employees in participation
- Follow HR processes and tools to encourage and support the growth and development of individuals
- Follow the required security measures to protect the site premises, including the safety of personnel, DSC assets and of the customer's product for the required area
- Adhere to the DSC 6 Steps security framework
- Report security risks to line manager
