Position Overview
The clinic is seeking a highly organized and customer-focused Receptionist with experience in the healthcare or aesthetics industry. The ideal candidate will be responsible for managing front-desk operations, providing exceptional customer service, and ensuring smooth administrative support to the clinic. The Receptionist will play a key role in creating a welcoming environment for patients while handling day-to-day operational tasks efficiently.
Key Responsibilities
1. Front Desk Management
- Greet and welcome patients and visitors with a professional and friendly demeanor.
- Manage patient check-in and check-out processes efficiently.
- Answer and manage incoming phone calls, emails, and inquiries.
- Schedule, confirm, and reschedule appointments using the clinic management system.
- Ensure the reception area is clean, organized, and stocked with necessary materials.
2. Patient Coordination & Support
- Provide information about the clinic’s services, treatments, and promotions.
- Assist patients with registration forms and insurance-related inquiries.
- Coordinate with medical staff to ensure seamless patient flow.
- Handle patient complaints and escalate issues when necessary.
- Ensure patient confidentiality and data protection according to DHA regulations.
3. Administrative Tasks
- Maintain accurate patient records in the clinic management system.
- Handle billing, invoicing, and payment processing accurately.
- Track and manage inventory of office and reception supplies.
- Prepare daily, weekly, and monthly reports on appointment schedules and revenue.
- Assist in preparing documentation for regulatory audits and compliance checks.
4. Customer Service Excellence
- Build and maintain positive relationships with patients to enhance their experience.
- Follow up with patients regarding their appointments and treatment plans.
- Collect and document patient feedback to improve services.
- Promote loyalty programs and encourage repeat visits.
Qualifications & Requirements
- Education: Diploma or Bachelor's degree in Business Administration, Hospitality, or a related field.
- Experience: Minimum 2 years of experience in a clinic, hospital, or medical spa receptionist role.
- Skills:
- Strong communication and interpersonal skills.
- Proficiency in using clinic management software and appointment scheduling tools.
- Excellent organizational and multitasking abilities.
- Knowledge of basic accounting and billing procedures.
- Ability to handle confidential information with discretion.
- Language: Bilingual in English and Arabic is preferred.
