Role- Office Administration Executive

Job description

The Office Administration Executive is responsible for accurately entering and managing data within our organization's systems. This role involves maintaining data integrity, performing routine clerical tasks, and ensuring that all information is updated and accessible. The ideal candidate will be detail-oriented, highly organized, and able to handle sensitive information with discretion.


Responsibilities:

  • Greet and welcome guests/visitors as soon as they arrive at the office.
  • Direct visitors to the appropriate person and office.
  • Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
  • Provide basic and accurate information in-person and via phone/email • Receive, sort and distribute daily mail/deliveries.
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook).Order office supplies and keep inventory of stock. Perform all other ad hoc tasks assigned by the line manager.Assures full ownership for front office (FO) responsibilities and coordinate end to end activities including the involved near- and offshore partners
  • Assures interface between support sales, support business, delivery, Back Office, Process development and the customer
  • Manages admin responsibility for the realization of individual contracts
  • Coordinating shipping and receiving, including courier services and providing status report of such arrangement when necessary
  • Orchestrating the management of office equipment and vendor relations, arranging repair and servicing when necessary
  • Calendar management.



Qualifications:

  • College Graduates.Proven work experience as a Receptionist, Front Office Representative or similar role.
  • Proficiency in Microsoft Office applications.

Hands-on experience with office equipment (e.g.printers).

  • Professional attitude and appearance.
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise

Excellent organizational skills.

Multitasking and time-management skills, with the ability to prioritize tasks.

  • Customer service attitude.
