We are currently hiring for the position of Operations Officer on behalf of our client, a leading manufacturer and supplier in the automotive components sector. The selected candidate will play a key role in managing the day-to-day operations of the UAE office, ensuring compliance with UAE regulations and the client’s internal policies.
This position also involves supporting both operational and human resources functions, particularly during the company’s early-stage growth and expansion in the region.
We are looking for a proactive and well-organized professional who can work independently while collaborating closely with the senior management team based outside UAE.
Operations Responsibilities
Regulatory & Statutory Compliance
Manage all legal and regulatory compliance requirements including business licensing, trade permits, and free zone/mainland regulations.
Ensure timely renewal and maintenance of all statutory documents and company registrations.
Office Administration & Vendor Management
Oversee general office administration, including facility upkeep, inventory control, and procurement.
Manage vendor selection, negotiations, and contract management for services and supplies.
Banking & Financial Coordination
Liaise with banks for account setup, management, and transaction processing.
Coordinate submission of expense reports, invoices, and relevant documentation to finance teams
Accounting Support
Support basic bookkeeping functions, expense tracking, and reconciliation.
Assist with financial reporting as required by the central finance team.
Stakeholder Liaison
Act as the main point of contact for external stakeholders including government authorities, consultants, auditors, and service providers.
Project & Business Support
Provide operational support for R&D initiatives, pilot projects, and local trade or distribution activities.
Assist with business development tasks such as proposal preparation, local market research, and event coordination.
Reporting & Communication
Prepare regular reports on office performance, compliance status, and operational updates for CLIENT’s top management.
Human Resources Responsibilities
Recruitment & Onboarding
Support local recruitment efforts, including coordination with recruitment agencies and internal teams.
Oversee employee onboarding, ensuring proper induction, documentation, and systems access.
Employee Records & Compliance
Maintain accurate and up-to-date personnel records in line with UAE labour regulations.
Ensure ongoing compliance with UAE labour laws and CLIENT’s HR policies.
Payroll Administration
Administer payroll processes, including coordination with finance teams for timely and accurate salary disbursements.
Manage statutory contributions and end-of-service benefits in compliance with local laws.
Employee Engagement & HR Support
Serve as the local HR point of contact for UAE staff, addressing HR-related queries and coordinating with the central HR team in India as needed.
Key Requirements
Minimum 7 years of experience in operations, administration, or general management, with exposure to both HR and operational domains.
Mandatory: Prior experience working in TECOM, Dubai Internet City, or similar UAE free zones.
Strong ability to set up and manage multi-functional operations in a start-up or lean team environment.
Excellent organisational, communication, and stakeholder management skills.
Familiarity with Microsoft Office and accounting/ERP systems.
Independent and proactive, with strong attention to detail and adaptability in a dynamic work environment.
Master’s degree in Business Administration, Commerce, or a related field.
Multilingual capabilities, with proficiency in Arabic considered an advantage.
