We are looking for a detail-oriented and proactive Event Coordinator to plan and execute events from concept to completion. The ideal candidate will support the events team in organizing corporate events, conferences, exhibitions, social events, and internal activities, ensuring smooth operations and excellent guest experience.
Skills
Planning & Coordination
Assist in planning, organizing, and executing events according to the brief and budget.
Coordinate event timelines, schedules, and checklists.
Support in venue research, site visits, and selection based on event requirements.
Prepare event proposals, layouts, and basic plans as required.
Vendor & Client Management
Communicate with suppliers and vendors (caterers, decorators, AV, photographers, etc.) to secure quotations and negotiate best rates.
Coordinate logistics with vendors: setup, tear-down, deliveries, and on-site requirements.
Support the Events Manager in communicating with clients, understanding their requirements, and providing regular updates.
Logistics & Operations
Arrange event materials, branding items, giveaways, registration desks, and signage.
Coordinate staff schedules, hostess/steward arrangements, and on-site support teams.
Handle event registrations, guest lists, invitations, and RSVP tracking.
Ensure all permits, approvals, and documentation are arranged on time (if applicable).
On-Site Event Support
Be present on-site during setup, event live hours, and breakdown.
Coordinate with venue and vendors to ensure everything runs according to plan.
Handle last-minute changes, problem-solving, and support the team to ensure a smooth guest experience.
Administration & Reporting
Prepare event-related documents: LPOs, budgets, reports, and feedback forms.
Maintain a database of vendors, venues, and event contacts.
Assist in post-event evaluation
