Facility Management & Maintenance
➢ Oversee the overall condition, cleanness, and functionality of Operations Resource Pool employee’s facilities, including mess halls, restrooms, break rooms, prayer rooms, and shift change areas.
➢ Plan and supervise preventive and corrective maintenance in coordination with Facility Management and Operations to ensure facilities are always in a very good condition.
➢ Lead New facilities development, repair, and renovation projects in line with Operational, business needs and budget Approvals. ➢ Lead initiatives to standardise facilities across all Ports & Terminals operations.
➢ Develop facilities inspections schedule to ensure facilities are regulary inpected and audited to assess the cleanness, functionality and overall employee’s experience. ➢ Supervise cleaning services and ensure the cleaning schedules are strictly followed especially in crowded areas.
➢ Ensure Facilities essential supplies such as tissues, sanitisers, are always in stock to support maintaining the facilities at a high standards.
➢ Monitor the utilisation of water and electricity across all facilities and implement effective tools to monitor utilization and minimize waste.
Catering services management
➢ Oversee the Operations Resource Pool employee’s catering services in daily basis in coordination with the supplier supervisor and ensure high level services and quality food is served to the employees.
➢ Manage the catering suppliers contracts ensuring all terms and conditions are protecting the company’s interest and are aligned with the company standards and HSE guidelines.
➢ Manage Contracts and performance of catering vendors in coordination with Procurement and General administration department.
➢ Continuously monitor quality, hygiene, delivery schedules, and employee’s satisfaction levels.
➢ Conduct periodic inspections and audits to the food serving areas, service lines, and storage areas to ensure compliance with food safety regulations and contract terms, and strict adherance to country regulatory bodies.
➢ Monitor Hygiene practices during the food preparation and distribution of food.
➢ Review and approve weekly food menues ensuring variety as per the employee’s food preferences.
➢ Manage Special Occasions Catering requirements such as Ramadan Iftars, EID Special events.
Daily and Seasonal Refreshment Programs
➢ Plan and Implement daily and seasonal refreshment programs such as Coconut water, fresh juices, Tea and ice pops During summer seasons.
➢ Ensure refreshments are distributed fairly, regularly and as per the safety standards. Budget & Resource Planning
➢ Manage and oversea the material inventories and relevant stores such as furniture, food items, disposables, and any items within the scope of responsibility and ensure systematic inventory management.
➢ Lead the annual budget process for Facilities, catering and refreshment programs.
➢ Monitor Monthly budget performance, and track variances and implement corrective actions to stay aligned to the approved budget.
➢ Work closely with Facility management and Finance to track budget utilisation, consumptions, validate invoices, and ensure accurate invoicing and charge backs.
➢ Monitor Expenditure and identify cost saving opportunities without compromising the service quality and employee’s saftey and welfare
Suppliers and Stakeholders management
➢ Lead suppliers management process for facilities and catering services including selection, negotiation, contract management, onboarding, performance evaluation, renewals and terminations in coordination with Procurement, General administration and Facility Management.
➢ Develop Performance KPIs with all suupliers to closely monitor their performance and quality of services
➢ Conduct regular suppliers performance evaluations and introduce actions and corrective measures to improve the services.
Team Management and Leadership
➢ Lead, mentor and develop the team by setting clear performance measures , ensuirng propoer training and support , and fostering a culture of accountability, collaboration, and service excellence
Compliance and safety
➢ Oversee effective documentation of facility layouts, maintenance schedules, Incident logs and Supplier Performance records.
➢ Ensure Operations Resource Pool Employee’s facilities, catering and refreshment services are compliant with company policies. Health and safety standards and Local authorities regulations.
➢ Lead Grievances and incident investigations related to facility, food safety concerns.
➢ Ensure Service requests are responded and resolved prompt as per agreed timelines.
Reports and Continuous improvement
➢ Ensure timely and accurate preparation of reports. Utilise data insights to support decision making , improve service delivery and provide management with regular updates
➢ Lead team members effectively through continouos monitoring and regular field visits to all sites.
➢ Ensure department activities align with organizational policies, procedures, and system requirements.
➢ Work on ADHOC assignments, projects and reports as and when needed for operational need.
➢ Drive continuous improvements by benchamarking against industry standards and adopting best practices to enhance the service quality, cost efficiency and employee experience.
➢ Work closely with Systems section to develop, enhance and maintain systems , policies and workflows that support the operations.
