Job Overview

We are seeking a proactive and organized Receptionist / Administrative Assistant to join our team in the UAE. 

This role combines front-desk excellence with essential administrative support, serving as the first point of contact for visitors and clients while ensuring smooth daily operations. 

The ideal candidate is professional, reliable, and capable of handling multiple tasks with a positive attitude. 

This position is suitable for an internship-level candidate looking to develop skills in office administration within a dynamic environment.

Key Responsibilities and Duties

  • Greet and assist visitors in a courteous and professional manner; manage front-desk communications and reception area.
  • Answer, screen, and route inbound calls and emails; respond to general inquiries and provide accurate information.
  • Manage multiple administrative tasks, including scheduling, calendar coordination, and meeting room bookings.
  • Coordinate couriers, deliveries, and office supply management to ensure smooth day-to-day operations.
  • Support HR and finance-related tasks as needed, such as onboarding paperwork, timesheet collection, and expense tracking.
  • Maintain organized physical and digital filing systems; ensure data privacy and confidentiality.
  • Prepare basic reports, memos, and correspondence with attention to detail and professional tone.
  • Assist with event coordination, client visits, and internal communications as required.
  • Collaborate with team members to streamline office processes and improve operational efficiency.

 

Qualifications and Requirements

  • Bachelor’s degree in any field from a recognized university; an internship-level position suitable for recent graduates.
  • UAE work eligibility and the ability to work full-time in the UAE.
  • Good command of English and Arabic (written and spoken); additional languages are a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and basic office software; familiarity with calendar management tools.
  • Strong organizational skills, time management, and attention to detail.
  • Excellent interpersonal and communication skills with a professional demeanor.
  • Ability to handle confidential information with discretion.
  • Proactive, dependable, and able to work independently or as part of a team.
