معالجة أوامر شراء العملاء وإصدار إشعارات الطلب خلال 24 ساعة.
الحفاظ على تحديث تفاصيل العرض والطلب في نظام إدارة العلاقات مع العملاء كجزء من دعم المبيعات اليومي.
دعم مدير المبيعات الإقليمي في المراسلات مع العملاء والمتابعة حول الاقتراحات.
إدارة الطلبات
إدارة دورة حياتها الكاملة للطلب من استلام PO العميل حتى التسليم والفوترة.
وضع ومتابعة أوامر شراء من الموردين مع شركاء المشروع المشترك والمصنعين من الطرف الثالث.
الحفاظ على متابع طلب محدث وتقديم تقارير حالة دورية.
تنسيق متطلبات الوثائق مع موظفي QA/QC لكل طلب.
التنسيق اللوجستي الأساسي (شحنات السلع الصغيرة)
تنسيق الشحنات الصغيرة مع وكلاء الشحن ومقدمي الخدمات اللوجستية من الطرف الثالث.
إعداد والتحقق من وثائق الشحن، بما في ذلك فواتير تجارية، قوائم التعبئة، وشهادات المنشأ.
مراقبة تقدم الشحنة وتقديم تحديثات استباقية للعملاء.
الخدمات المشتركة والإداري (ملكية SharePoint / CRM)
امتلاك والحفاظ على مواقع SharePoint المشتركة للشركة ونظام CRM كمسؤول رئيسي، ضمان دقة البيانات، هيكل متسق، واستخدام صحيح عبر الفريق.
الحفاظ على سجلات CRM دقيقة، بما في ذلك الفرص والأنشطة والعروض والطلبات.
تقديم دعم إداري ومساعدة عامة لمدير المبيعات الإقليمي، بما في ذلك محاضر الاجتماعات، الجدولة، وإجراءات المتابعة.
دعم وظائف إدارية مشتركة أخرى عبر مكتب دبي حسب الحاجة.
الملف المطلوب للمرشح
1–3 سنوات خبرة في المبيعات الداخلية، إدارة الطلبات، الدعم الإداري/المساعدة، أو أدوار ذات صلة.
خبرة عملية مع Microsoft SharePoint ومنصات CRM، مع القدرة على تولي مسؤولية صيانة بنيتها وجودتها البيانات.
يفضل خبرة عمل في الإمارات العربية المتحدة ولكن ليست ضرورية للمرشح المناسب.
معرفة بعمليات المناطق الحرة بالإمارات وإجراءات الجمارك.
معرفة عملية بشروط التجارة الدولية (Incoterms) مثل EXW، FOB، CIF، DDP، DAP.
خبرة في أنظمة CRM وERP.
مهارات قوية في Microsoft Excel وWord وOutlook.
مهارات اتصال كتابي وشفهي باللغة الإنجليزية ممتازة.
درجة أو دبلوم في إدارة الأعمال، إدارة سلسلة الإمداد، أو مجال ذو صلة.
المؤهلات المفضلة
Quotations & Sales Support
Prepare, issue, and track customer quotations using approved pricing and templates.
Maintain a live quotation register with follow-up dates and status updates.
Process customer purchase orders and issue order acknowledgements within 24 hours.
Keep quotation and order details current in the CRM as part of day-to-day sales support.
Support the Regional Sales Manager with customer correspondence and proposal follow-up.
Order Management
Manage the complete order lifecycle from receipt of customer PO through delivery and invoicing.
Place and track supplier purchase orders with joint venture partners and third-party manufacturers.
Maintain an up-to-date order tracker and provide regular status reports.
Coordinate documentation requirements with QA/QC personnel for each order.
Basic Logistics Coordination (Smaller Commodity Shipments)
Coordinate smaller commodity shipments with freight forwarders and third-party logistics providers.
Prepare and verify shipping documentation, including commercial invoices, packing lists, and certificates of origin.
Monitor shipment progress and provide proactive updates to customers.
Shared Services & Admin (SharePoint / CRM Ownership)
Own and maintain the company's shared SharePoint sites and CRM system as primary administrator, ensuring data accuracy, consistent structure, and proper use across the team.
Maintain accurate CRM records, including opportunities, activities, quotations, and orders.
Provide general administrative and assistant support to the Regional Sales Manager, including meeting minutes, scheduling, and follow-up actions.
Support other shared administrative functions across the Dubai office as needed.
Desired Candidate Profile
1–3 years of experience in inside sales, order management, administrative/assistant support, or related roles.
Hands-on experience with Microsoft SharePoint and CRM platforms, with the ability to take ownership of their upkeep, structure, and data quality.
UAE work experience preferred but not essential for the right candidate.
Knowledge of UAE free zone operations and customs procedures.
Working knowledge of Incoterms (EXW, FOB, CIF, DDP, DAP).
Experience with CRM and ERP systems.
Strong Microsoft Excel, Word, and Outlook skills.
Excellent written and verbal English communication skills.
Degree or diploma in Business Administration, Supply Chain Management, or a related field.
Preferred Qualifications
Experience in aviation, oil & gas, industrial equipment, or technical trading industries.
Familiarity with freight booking platforms and shipment tracking systems.
Arabic language skills.
