Roles and Responsibilities:
- Coordinates with colleagues to ensure an efficient flow of communication to and from the administration office.
- Check all emails in respond to F&B management.
- Arranging and preparing all the F&B and Culinary reports such as duty roaster, Guest letters and vouchers.
- Arranging, preparing, issuing and filling of all items related to F&B and Culinary for purchase request, vacation leave records, public holidays/lieu days, receiving reports and all meeting reports.
- To communicate daily with other concerned departments to ensure they are aware of all VIP arrivals, special requests and the speedy delivery of service interdepartmental training.
- Arrive at work well groomed, prepared and show enthusiasm and professionalism.
- Assisting F&B management to maintain all hotel records and forms as prescribed by the local hotel management and policies.
- Communicate new or amended procedures to relevant departments / colleagues in a timely manner
- To ensure full coverage of the F&B operation when the business level is high.
- Preparing of all correspondences related to F&B both external and internal.
- Responsible for taking dictation, transcribing, typing confidential documentation keeping confidential material confidential.
- To handle and direct all enquiries to the appropriate person.
- Make arrangements and schedules for various meetings and communicate to all in F&B.
- Ensures proper requisitioning and controlling of office supplies.
- Send reminders for deadlines related F&B admins.
- Determine the necessary competence for employees to provide training or other actions to satisfy these needs. Provide constant coaching, counselling and discipline to colleagues to ensure their capability to meet the needs of the customer and the organization.
- Perform other related duties as directed by Senior Management.
Essential:
- Minimum 2 years of experience in a similar role in Hospitality
- MS Program (Word, Excel, PowerPoint, Visio).
- Advanced Excel.
- Additional relevant qualifications: Excellent food and beverage knowledge, administration abilities, good kitchen organization experience
Desirable:
- Experience working in a multi-cultural environment
- Organized and well planned
- Able to work with speed and efficiency throughout maintaining positive attitude
