Role Overview:
The Executive Assistant supports the Managing Director Middle East & Africa, performs numerous diversified strategically inclined administrative duties. Key focus areas include managing the MD’s complex and ever-changing calendar; scheduling meetings, events and activities; developing business reports, key partner in project management and managing travel and expenses. Crucial is the ability to partner with all key stakeholders across this diverse, fast paced organization to ensure a smooth running and efficient organization. Candidates must demonstrate initiative and follow-up on relevant day-to-day activities while maintaining a complex and fluid calendar; execute rigorous follow-up by ensuring issues are resolved and projects completed.
Key Responsibilities:
- Processes all communications, including phone calls, email, correspondence, meeting minutes and follow up on actions aligned on in meetings
- Prepares agendas and materials for executive meetings.
- Establishes and maintains support systems for structuring priorities necessary to the MD.
- Assists in managing the MD’s schedule to include scheduling meetings and appointments.
- Coordinates and assists in developing associated business reports and prepare presentations.
- Organizes files, performs data entry and analyses data, and maintains accurate records.
- Handles confidential matters requiring discretion and judgment.
- Acts as liaison with other departments and outside agencies, including senior level management.
- Administrative and project-based support
- Pro-actively managing calendars, travel/logistics and email inbox
- Administrative duties such as handling travel arrangements, preparing and coordinating meetings, document management, etc.
- Updating contact and stakeholder databases
- Responding to external and internal enquiries
- Coordinating Team Projects as and when required
- Expense and budget management
Qualifications
- Minimum of a Administrative Diploma or equivalent is required
- Minimum of 6 years of professional, related work experience required
- Experience in an administrative role at executive level is required
- Excellent working knowledge of MS Office: Outlook, Word, Excel and PowerPoint is required as well as other relevant applications as they are innovated e.g. Canva
- Fluency in English
- Prior experience with budget & travel processing platforms is a plus (Concur, CTO...)
- Project Management Experience is a plus (FPX qualification an added advantage)
- This role may require up to 10% travel
