Role Overview:The Sales Administrator / Contract Specialist is responsible for managing all administrative, contractual, and documentation processes that support the sales function. This role ensures accurate sales progression, proper handling of buyer information, and smooth coordination between sales teams, developers, brokers, and internal stakeholders. The ideal candidate will be detail-oriented, organized, and experienced in real estate contract documentation.Key ResponsibilitiesContract & Documentation Management Prepare, review, and manage all sales-related documents, including EOIs, Reservation Agreements (RAs), Sales & Purchase Agreements (SPAs), CIFs, ID copies, receipts, and required supporting documents. Ensure all documents are complete, accurate, and compliant with project and developer requirements. Upload, organize, and maintain documentation within the company’s CRM or designated document management systems. Cross-check contract and unit data against approved sales reports to ensure consistency. Identify and escalate discrepancies or missing information to the Sales Operations Manager.Sales Administration SupportCapture and maintain accurate buyer and broker information across all active projects. Track payment schedules, record payments received, and ensure these are promptly updated in internal systems and reports. Coordinate with developers to confirm all required documentation and approvals are in place prior to invoicing or issuing contracts. Serve as the administrative point of contact for developers who do not have dedicated sales support.Sales Coordination & CommunicationSend Expression of Interest (EOI) conversion emails and manage timing and zone allocations. Maintain ongoing communication with sales teams, developers, and brokers to ensure alignment throughout the sales process. Provide timely administrative support to ensure proper documentation flow, follow-ups, and adherence to sales procedures.Qualifications & SkillsMinimum 3 years of experience working with a real estate developer (mandatory). Strong background in sales administration, contract handling, and real estate documentation processes. Solid understanding of EOI, RA, and SPA documentation and requirements. Bachelor’s degree in Business Administration, Real Estate, or a related field. Proficiency with CRM systems and sales/project tracking tools. Exceptional attention to detail, strong organizational skills, and the ability to manage multiple tasks and deadlines.
