Job Details

Job Purpose:
We are seeking an experienced Senior Contracts & Commercial Administrator to support the contractual and commercial administration of a major infrastructure project. The role will be responsible for the day-to-day monitoring and administration of contractual obligations, ensuring that key requirements, deliverables, guarantees, deadlines, variations and vendor/subcontractor obligations are properly tracked, documented and communicated. The successful candidate should have strong experience working with EPC, telecommunications, utilities or infrastructure contracts, with good knowledge of FIDIC-style contractual conditions, bank guarantees, variation management and formal commercial correspondence. This is a detail-oriented, project-facing role requiring close coordination with Project Management, Procurement, Engineering, Commercial teams, subcontractors and the client.
Key Responsibilities
Contract Administration & Compliance Manage the day-to-day contractual and commercial administration of the assigned project contract. Maintain a comprehensive and up-to-date contract compliance and obligations tracker, covering contractual clauses, key dates, deliverables, approvals and dependencies. Monitor contractual requirements arising from the Letter of Award (LOA), Full/Final Offer or Agreement (FOA) and associated contract documents. Track critical contractual submissions, including approved vendor/subcontractor lists, project programmes, insurance certificates and other required documentation. Review contractual dates and identify discrepancies, inconsistencies or potential compliance risks for escalation to the Project Manager and relevant stakeholders. Support the assessment of contractual effective dates and the recalculation of associated downstream milestones and obligations where required.
Bank Guarantees & Commercial Obligations Monitor the issuance, validity, renewal, reduction and release requirements of Performance Bank Guarantees (PBG) and Advance Payment Bank Guarantees (APBG). Track advance-payment recovery and amortisation against contractual payment milestones. Maintain accurate records of guarantee values, expiry dates, amendments and associated contractual requirements. Coordinate with Finance, Commercial and Project teams to ensure guarantee-related obligations are fulfilled within the required timelines.
Variations & Change Management Administer and maintain registers for Variation Orders, Change Requests, deviation proposals and BOQ changes. Support the preparation and documentation of contractual variations and commercial changes. Track technical and commercial deviations, including proposed OEM, System Integrator, equipment or solution substitutions. Ensure changes are properly documented and supported by the required contractual, technical and commercial information before submission. Monitor approvals and maintain an auditable record of all contractual changes.
Vendor & Subcontractor Compliance Coordinate with Procurement and Project teams to maintain and finalise the client-approved vendor and subcontractor list. Verify that proposed vendors, OEMs and subcontractors comply with contractual requirements and approval processes. Track vendor/subcontractor submissions, approvals, deviations and outstanding actions.
Commercial Correspondence & Reporting Draft professional contractual and commercial correspondence for review by the Project Manager and Commercial team. Maintain correspondence, variation, guarantee, contractual obligation and action registers. Prepare periodic contract-status reports highlighting upcoming deadlines, outstanding obligations, commercial risks and required actions. Support the Project Manager in preparing contractual responses, notifications and supporting documentation for client discussions. Coordinate closely with Project Management, Engineering, Procurement, Finance and Commercial stakeholders. Maintain clear and organised contractual records to support project governance, audits, claims and future commercial reviews.
Qualifications & Experience:-
Bachelor's degree in Engineering, Quantity Surveying, Business Administration, Commercial Management or a related discipline. Minimum 5 years of relevant experience in contracts administration or commercial contract management. Demonstrated experience working on EPC, utility, telecommunications or major infrastructure projects. Good working knowledge of FIDIC-style contract conditions and principles. Practical experience with Letters of Award, contractual obligations, bank guarantees, variations, BOQ changes and commercial correspondence. Experience maintaining contractual registers, obligation trackers and project documentation. Understanding of Performance Bank Guarantees, Advance Payment Guarantees and advance-payment recovery mechanisms. Previous experience dealing with clients, main contractors, consultants, OEMs, subcontractors and/or System Integrators is highly desirable. UAE or GCC project experience would be advantageous.
Key Competencies:-
Excellent attention to contractual detail and accuracy. Strong ability to identify and track contractual deadlines, obligations and dependencies. Strong written communication skills with the ability to prepare formal client-facing contractual correspondence. Good commercial awareness and understanding of project delivery environments. Strong document-control and record-management discipline. Ability to review conflicting or ambiguous contractual information, identify discrepancies and escalate them appropriately rather than making unsupported contractual assumptions. Strong coordination and stakeholder-management skills. Ability to manage multiple contractual actions and deadlines simultaneously. Proactive approach to identifying contractual and commercial risks before they affect project delivery.
Preferred Candidate Profile:-
The ideal candidate will have worked within an EPC contractor, engineering consultancy, System Integrator, telecommunications infrastructure provider or utilities organisation, supporting a major project from a contracts and commercial perspective. Candidates with hands-on exposure to FIDIC contracts, contractual compliance, variation orders, bank guarantees, BOQ changes, vendor/subcontractor approvals and formal client correspondence will be strongly preferred.
