Administration Assistance

Job Responsibilities:
Administrative Support:

Answer and direct phone calls, emails, and other correspondence.
Organize and schedule appointments and meetings.
Prepare meeting agendas, take minutes, and distribute them.
Write and distribute email, correspondence memos, letters, faxes, and forms.
Document Management:

Develop and maintain a filing system for physical and digital records.
Update and manage office policies and procedures.
Handle sensitive information in a confidential manner.
Prepare and edit documents, reports, and presentations.
Office Coordination:

Order and maintain office supplies inventory.
Arrange travel and accommodations for staff as needed.
Coordinate office repairs and maintenance activities.
Liaise with internal and external contacts to ensure office operations run smoothly.
Data Entry and Management:

Enter data accurately into databases and systems.
Generate and compile reports from various sources.
Maintain and update contact lists.
Customer Service:

Greet and assist visitors and clients in a professional manner.
Handle customer inquiries and resolve complaints.
Provide general support to visitors and staff.
Event Planning:

Assist in planning and organizing company events and activities.
Coordinate logistics for meetings, conferences, and training sessions.
Qualifications:
Education:

High school diploma or equivalent.
Additional qualifications in office administration or related fields are advantageous.
Experience:

Previous experience as an administrative assistant or in a related role is preferred.
Familiarity with office equipment and office management procedures.
Skills:

Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Excellent written and verbal communication skills.
Strong organizational and multitasking abilities.
