We are seeking a highly organized and detail-oriented Office Assistant to join our team. The ideal candidate will be responsible for a variety of administrative tasks to support our office operations. This role is essential in ensuring the smooth functioning of our day-to-day activities.

Key Responsibilities:

  • Document Arrangement:
  • Organize, file, and maintain documents both in physical and digital formats.
  • Ensure efficient retrieval of documents as needed by the team.
  • Handle confidential information with discretion.
  • Expense Entry:
  • Accurately enter expense data into our accounting software.
  • Reconcile credit card statements and receipts.
  • Assist in the preparation of financial reports.
  • Invoice Issuing:
  • Prepare and issue invoices to clients or customers.
  • Track and follow up on outstanding invoices.
  • Collaborate with the finance team to resolve any billing discrepancies.
  • Customer Service:
  • Contact the customers to arrange the delivery.
  • Deal with the customer's complain and requests.
  • Arrange the customer payments and follow up the status.

Skills


  • High school diploma or equivalent; further education in Office Administration or related field is a plus.
  • Proven experience as an office assistant, administrative assistant, or in a similar role.
  • Proficiency in MS Office (MS Excel and MS Word, in particular).
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills.
