Job Description
Virtual Schedule Management:
- Organize and manage virtual appointments, meetings, and online events for the Supply Chain Manager.
- Prepare and distribute digital agendas and meeting materials to participants.
2. Remote Communication Coordination:
- Handle emails, virtual messages, and communication with internal and external parties.
- Respond to online inquiries via email, chat, or virtual platforms.
3. Digital Document and Report Preparation:
- Prepare and format digital reports, presentations, and correspondence.
- Organize and maintain electronic filing systems for easy access.
4. Online Logistics Support:
- Coordinate online shipping processes, track deliveries, and manage virtual documentation.
- Communicate with suppliers and logistics partners through digital platforms to ensure efficient operations.
5. -Remote Data Management:
- Enter and update supply chain data using online tools and systems.
- Prepare and maintain digital inventory records and performance reports.
6. -Virtual Operations Support:
- Provide administrative support to the supply chain team using digital tools.
- Collaborate remotely with other departments to facilitate a smooth workflow.
7. Online Visitor Handling:
- Manage virtual meetings with visitors and clients online.
8. Minutes of Meeting:
- Attend virtual meetings and take accurate and detailed minutes.
- Record key discussion points, decisions made, and action items assigned to team members.
- Distribute meeting minutes to relevant parties promptly and maintain an organized digital archive of all records.
9. Proficiency in Microsoft Office:
- Efficiently use Microsoft Office tools (Word, Excel, PowerPoint, Outlook) to prepare documents, spreadsheets, and presentations.
- Create and maintain data spreadsheets to track supply chain metrics and reports.
- Use Microsoft Outlook for managing emails, calendar events, and scheduling.
- Prepare professional-quality documents and presentations using Microsoft Word and PowerPoint.
