Position Overview

You will play a vital role in supporting the team of real estate professionals as well as the senior management team by handling various administrative tasks and ensuring smooth and efficient operations. This is an exciting opportunity for individuals with strong organizational skills and a passion for the real estate industry and customer service.

Key Responsibilities

  • Handle sensitive information with utmost confidentiality and discretion.
  • Ensure compliance as per the company's guidelines and policies.
  • Knowledge of Trakheesi, Ejari, and RERA legalizations.
  • Understanding of Contracts (Forms A, B, F, and I), MOU, and POA.
  • Assist with the preparation of listing agreements, contracts, and other legal documents related to property transactions.
  • Maintain and update the Customer Relationship Management (CRM) and CMS systems to ensure seamless communication and accurate information.
  • Coordinate property viewings and appointments between clients, agents, and landlords, ensuring timely communication and follow-up.
  • Maintain accurate and up-to-date records of property listings, client information, and transaction details in the company database.
  • Handle inbound inquiries from clients, vendors, and other stakeholders via phone, email, and in-person, providing excellent customer service and a 360 real estate experience.
  • Manage office correspondence, including sorting mail, answering phone calls, and responding to inquiries in a professional manner.
  • Support the team with general administrative tasks, such as filing, data entry, and document management.

Professional Requirements & Qualifications:

  • Minimum 1 - 2 years experience.
  • Bachelor’s degree or diploma in Business Administration, Real Estate, or related field preferred.
  • Proven experience in an administrative role, preferably within the real estate or property management sector.
  • Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage multiple deadlines effectively.
  • Proficient in Microsoft Office.
  • Excellent communication and interpersonal skills, both written and verbal.
  • Ability to work independently and as part of a team in a dynamic fast-paced environment.
  • Professional & presentable demeanor.
  • Knowledge of real estate laws, regulations, and industry practices advantageous.
