Purpose of Role

The purpose of the role of Administration Assistant is to maintain efficient communication with parents. The administration assistant is also responsible for managing and organizing data in the school management system, setting up parent’s evening, ECA’s booking and teachers and pupils allocation on iSAMS portal.

Administration Assistant Key Responsibilities

  • Maintain effective communications with existing parents, handling queries and being the liaison between other school personnel and departments.
  • Helping in Reception during morning and afternoon busy periods.
  • Organize parent/community events in order to engage parents in school activities and celebrations and support the school’s parent engagement activities
  • Ensure that the School Principal and relevant staff are regularly informed of problems or unusual matters of significance
  • To ensure the pupil database is up to date and accurate.
  • Setting up a parent's evening (Family Conferencing) on iSAMS.
  • Setting up ECA’s booking on iSAMS.
  • Setting up Subjects and divisions, teachers and pupils allocation on iSAMS.
  • Creating columns for mark sheets on iSAMS to ensure Report Cards are crated correctly.
  • Liaise with the IT support in ISP to check report templates and ask for any required edits.
  • Ensure the school policies, procedures, and codes of conduct are followed at all times
  • Initiate effort and energy beyond the typical workday, where the tasks require additional commitment
  • Perform other duties as requested by direct & dotted reporting line managers / supervisors
  • Creating PASS profiles for external staff and applying for their ADEK approvals
  • Creating shadow teachers’ profiles to obtain their ADEK approvals

Health and Safety

  • Emphasizes the importance of safety in all areas of the curriculum, communicating to the pupils the importance of a responsible attitude towards personal safety, the safety of others and respect for Aspen Heights British School’s property and equipment
  • Safeguard Aspen students
  • Take all necessary and reasonable precautions to protect students, equipment, materials, and facilities
  • Assist in implementing all policies and rules governing student life and conduct
  • Ensure that, all the necessary health and safety rules and procedures are being followed
  • Maintain an awareness of all the health and safety measures to be taken when in school

Skills, Qualifications And Experience

  • Bachelor’s in Business Administration or equivalent
  • 2 years of administration experience, preferably in school.

Skills

  • The ability to develop good personal relationships within a team
  • An effective and experienced communicator (written and verbal) to a variety of audiences
  • High level of IT competency
