Job Purpose
The Project Administrator will provide essential administrative and office support to facilitate the smooth operation of the BP_ROO_EPCM project. This role focuses on maintaining efficient communication, managing documents, and coordinating various project functions, ensuring confidentiality and compliance.
Job Responsibilities
- Perform a variety of administrative and office support activities to ensure the effective functioning of the project team.
- Manage and maintain project documentation, including filing, photocopying, scanning, and word processing tasks.
- Field telephone calls, receive and direct visitors, and manage calendar appointments for the COMPANY Representative and Project Director.
- Coordinate domestic and international travel arrangements, including visa applications and accommodation for project personnel.
- Organize and schedule meetings, ensuring the availability of appropriate resources and communication of necessary information.
- Handle sensitive and private information with the utmost confidentiality and professionalism.
- Assist in the upkeep of project management software and databases, ensuring data accuracy and access for authorized personnel.
Functional Responsibilities
- Serve as a point of contact for project-related inquiries, facilitating communication between stakeholders and the project team.
- Support the project control team with administrative tasks, including the preparation and distribution of reports and meeting minutes.
- Maintain a systematic filing system to ensure easy access to project documentation.
- Assist with onboarding new personnel and managing office supplies and equipment.
Technical Skills
- Proficiency in MS Office software packages (Word, Excel, PowerPoint, Outlook) and project management tools.
- Basic understanding of project management principles and project control processes, particularly in the context of FEED design onshore projects.
- Familiarity with office management procedures and practices.
Soft Skills
- Excellent verbal and written communication skills, enabling effective interaction with various stakeholders.
- Strong organizational and time management skills, with the ability to manage multiple tasks efficiently.
- Attention to detail and accuracy in administrative tasks.
- Ability to work independently and as part of a team, demonstrating flexibility in a dynamic work environment.
Experience
- Minimum of 5 years of experience in a project administration role, preferably within the engineering or construction industry with a focus on project control.
- Proven track record of maintaining confidentiality and handling sensitive information.
- Experience coordinating domestic and international travel and visa arrangements for personnel.
Education Qualification
Mandatory: Educated to Diploma level with professional qualifications and accreditations relevant to the role.
