HR Services Assistant

Job Purpose

To process visa related applications in a timely and consistent manner. Following the established Service Level Agreements


Key Responsibilities:

  • Prepare Job Offer Contracts in accordance with Ministry of Labor guidelines based on the type of hire, including inside country, outside country, relative sponsored, and temporary work permits.
  • Process tasks related to Mission Visas, ensuring all related activities are accurately performed in the HR System.
  • Perform job offer typing activities in the HR System and update references and expenses in E-Smart.
  • Check Visa quota status and amend it based on request from the BU HR.
  • Manage tasks related to “Nawakas” by ensuring regular follow up with the requestor.
  • Process Dubai Insurance and labor approval payment.
  • Perform all tasks related to Entry permit (GDRFA) upon checking with applicant country status and Onboarding team and ensure necessary actions related to it are updated in HR System.
  • Manage passport and file requests, maintaining an accurate inventory as per requirements.
  • Ensure all assigned tasks are completed within the agreed Service Level Agreement (SLA) to consistently deliver excellence.
  • Provide weekly update to BUHR related to visa quotas, or on pending applications
  • Update WPS number, sponsorship company and labour card/contract details for those on Relative sponsorship.
  • Monthly reconciliation of Connect record for accuracy and up to date record


Skills

  • Proven experience in HR operations, particularly in visa processing systems and labor law compliance.
  • Strong knowledge of local labor laws and regulations.
  • Ability to work independently and as part of a team.
