Officer-Travel & Business Support

Job Purpose


To perform all the administrative tasks for employees and relevant external stakeholders’ travel desk operations ensuring the travel bookings and allied arrangements are in line with employee requirements to support cost-effectiveness and maximum satisfaction in the business travel experience.


Responsibilities


-Prepare and execute the required bookings for the end-to-end travel itinerary and plans, as per the requirements of the employees and relevant external stakeholders including travel arrangements, accommodations, etc.

-Ensure timely and prompt handling of the visa, insurance, and other requirements’ applications and formalities.

-Prepare and maintain documentation and reports for the project-wise billing coordination with accounts, details of all cancellations, and changes in dates for the upper management’s review.

Proactively address all the general travel queries and complaints from the people availing the travel support services.

-Develop and maintain trackers for all the incoming travel requests and the status of the respective processes undertaken.

-Continuously research the travel deals and evaluate prices & services to achieve business interests.

-Handle the end-to-end vendor payment process and ensure efficient bookkeeping of Travel MIS.


Stakeholder Collaboration


-Build and maintain positive relationships with vendors and agents of direct travel, such as car rentals, hotels, airlines, etc. to ensure urgent arrangements, prompt travel bookings, etc.

-Support the internal and external audit teams with their requirements for the financial reporting of the travel operations for the department.

-Follow all Human Resource department policies, processes, standard operating procedures, and instructions so that work is carried out in a controlled and consistent manner.

-Demonstrate compliance to the organization’s values and ethics at all times to support the establishment of a value-driven culture within the organization.


Qualification & Experience


-Bachelor’s degree in Tourism & Travel, Business Management, or equivalent.

-Minimum 3 of experience in the hotel, travel, and hospitality industry.
