Team Structure
a. Reporting into the Office Manager
b. Manage of the admin team along with the company driver and office assistant
c. Reliver for the receptionist
2. Administrative Functions
a. Ensure reception area is neat with necessary stationary
b. Conference room management
c. Preparation and dispatching of outgoing couriers
d. Receiving of incoming couriers, TECOM deliveries and post
e. Distribution of TECOM documents and EIDs to the appropriate team
f. Keeping track of the expiry of parking cards and door access cards
g. Coordinate with the building Security, FM and Housekeeping teams in case of a requirement
h. Liaising with suppliers (Stationary, printing, photocopy maintenance, flower delivery, plant maintenance, etc.)
i. Maintain stock inventory
j. Maintain log books
k. Preparing the weekly stock list for the office
l. Support Office Manager with all the day to day work
3. Required Skills
a. Experience of 2 years as an Admin Assistant
b. Customer servicing attitude
c. Proficient in MS Office (Word, Excel, PowerPoint & Outlook)
d. Professional attitude and appearance
e. Very good written and verbal communication skills
f. Ability to multitask and prioritize
g. Bachelor degree
h. Has handled and coordinated Events
