Receptionist

Overview

We are seeking a warm, professional, and detail-oriented individual to join our team as a Front Office Administrator. In this role, you will be the first point of contact for visitors, managing front desk operations with a focus on exceptional guest relations. The ideal candidate will be highly organized, approachable, and adept at handling a variety of administrative tasks to ensure the smooth and efficient operation of the office.


Key Area of Responsibilities:


Visitor Management


  • Greet and welcome visitors with a professional and friendly demeanor, ensuring a positive and professional experience.
  • Maintain a welcoming and organized reception area.
  • Maintain visitor logs and adhere to security procedures.


Communication and Coordination


  • Handle incoming phone calls, emails, and inquiries, routing them to the appropriate staff or departments.
  • Coordinate and schedule appointments, meetings, and conference room bookings, managing any conflicts as needed.
  • Organize meeting rooms, including setup and providing hospitality services, such as serving refreshments.


Travel and Relocation Coordination


  • Arrange flight and accommodation for new joiners, ensuring a smooth relocation and onboarding experience.


Office Administration


  • Assist on daily office functions, including managing office supplies inventory, placing orders, and maintaining office equipment.
  • Ensure a clean, safe, and organized work environment.
  • Coordinate office maintenance and repair needs.


Qualifications


  • High school diploma or equivalent; additional qualifications in office administration or related fields are preferred.
  • Proven experience as an Receptionist or Office Administrator, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Excellent written and verbal communication
  • Strong interpersonal skills and high level of professionalism.
  • Experience in guest relations or guest management is a plus.
