Job Summary

Responsible for efficiently and effectively completing all administration management and providing full Executive Assistant services to Global Head, Digital Assets (and other members of the Digital Assets Centre of Excellence where required). Delivering high level of support and service consistently to benefit key stakeholders, both externally and internally.



Key Responsibilities

•    To act as a force multiplier to the Global Head of Digital Assets and the DA CoE team.
•    To provide executive support to Global Head, Digital Assets: including schedule management, prioritization of stakeholder requests and obligations, availability management, travel, and expenses.
•    Point of liaison to manage internal/external stakeholder calls, appointments and relevant committee meetings associated with the Global Head, Digital Assets.
•    Executive support for Team management and leadership requirements, training, compliance, performance and remuneration cycles and prioritization of major deliverables. 
•    Management of key Stakeholder database and regular interactions with key internal and external stakeholders. 
•    Close coordination with Global Head, DA’s direct reports, other Personal Assistants and Business Planning Managers across the group to ensure appropriate cascade of updates and information as well as coordination of activities.
•    Collation of all relevant papers/documents in advance of meetings to be circulated appropriately when required.
•    Ensure effective communication, discretion and confidentiality is always maintained especially where delegated authority to sensitive information has been granted.
•    General on-site and in-person administrative duties for both Global Head of DA plus their direct reports and wider DA CoE team as required; arranging building passes/floor access, desk and locker allocation, business cards, booking meetings, arranging meeting rooms with refreshments.
•    Supporting preparation of sensitive and confidential material and information; including presentations, spreadsheets, papers, and other business-related documentation as required by the team.
•    Prepare and process travel and expense claims in a timely manner to avoid late payment fees.

Embed Here for good and Group’s brand and values in the Digital Assets Centre of Excellence. Perform other responsibilities assigned under Group, Country, Business or Functional policies and procedures; Multiple functions (double hats).





Skills and Experience

•    Advance skills in Outlook, Word, Excel, PowerPoint, Sharepoint, Teams etc.
•    Exemplary Business correspondence skills with excellent proficiency of English, written and spoken. 
•    Relevant work experience as Executive Assistant in a global, matrixed organisation.
•    Comfortable dealing with multi-cultural and diverse teams, languages, and time zones.
•    Responsive and able to pay meticulous attention to detail (particularly in documentation).
•    A team player who demonstrates good interpersonal skills with ability to prioritise workload and manage conflicting priorities.
•    Able to multi-task and manage numerous deliverables effectively.
•    Excellent organisational skills.
•    High sense of urgency.
•    Some knowledge of, or experience in the Digital Assets industry and landscape preferred.
