Job Description

Work includes some of or all of the following:


  • Prepares or proofs correspondence, forms, spreadsheets, or documents, schedules meetings, makes travel arrangements, and/or maintains inventory of office supplies.
  • Familiar with a variety of the field's concepts, practices, and procedures.
  • Relies on experience and judgment to plan and accomplish more complicated goals. Uses Word, Excel, PowerPoint, Outlook, and other programs to accomplish work.
  • May direct and lead the work of others.
  • Manage day-to-day office operations and ensure a well-organized work environment.
  • Schedule meetings, prepare minutes, and arrange travel/logistics when required
  • Handle petty cash management and monthly reconciliation
  • Manage processing of Department’s operational budget in co-ordination with the team and relevant vendors
  • Maintain proper documentation for expenses, payments, and approvals
  • Receive queries and explanations, if any, on behalf of the Line Manager / Director, and co-ordinate with the concerned personnel in the organisation to provide necessary clarifications.
  • Schedule appointments for and on behalf of the Line Manager / Director, provide information to callers, take dictation, compose and type correspondences, and perform other administrative tasks as and when required;
  • Record minutes of internal meetings conducted by the Line Manager / Director.
  • Draft letters and official correspondences as per the direction of the Line Manager / Director.
  • Preparing cover letter as instructed by the Line Manager / Director, preparing envelopes, ensuring that the correspondence is addressed to the right addressee and arranging to deliver the correspondence in co-ordination with the relevant member of staff.
  • Coordinate with relevant personnel to arrange travel schedules and reservations for the Line Manager / Director.
  • Greet and receive visitors of the Line Manager / Director, inform Line Manager / Director and ensure that required attention and hospitality are provided to the visitors.
  • Perform other tasks related to the administration function as they arise and as delegated by the Line Manager / Director
  • Co-ordinate with the department staff with regard to the daily work, responsibilities and functions.
  • Prepare reports on various issues with regard to the department.
  • Assist in developing recommendations for process improvements in the department like workflow for routine work.
  • Perform other duties as assigned by the Director
