The Role 



We are currently seeking a qualified and experienced Site-Based Subcontract Administrator to support the effective administration of subcontract agreements at the project site. This role is focused on managing ancillary subcontract packages, ensuring compliance with contractual obligations, and supporting the successful execution of site-based activities in alignment with project goals.


The ideal candidate will have a strong background in subcontract administration, site operations, and coordination with multidisciplinary teams. Familiarity with ADNOC procedures, FIDIC contracts, and site-based procurement and logistics is essential.

The key objectives for this role are:


  • Effective Subcontract Administration:
    Ensure accurate and timely administration of all ancillary subcontract packages in accordance with project requirements, contractual obligations, and ADNOC standards.
  • Contractual Compliance:
    Monitor and enforce compliance with FIDIC-based contracts, ensuring all subcontractor activities align with scope, schedule, and quality expectations.
  • Vendor Coordination & Performance:
    Maintain strong working relationships with subcontractors and vendors, ensuring performance is tracked, evaluated, and aligned with project KPIs.
  • Documentation & Reporting:
    Maintain comprehensive records of subcontractor documentation, including progress reports, variations, claims, and approvals, ensuring transparency and audit readiness.
  • Cost & Risk Management:
    Support cost control efforts by identifying potential risks, managing variations, and contributing to dispute resolution processes.
  • Cross-Functional Collaboration:
    Work closely with engineering, procurement, construction, and commercial teams to ensure seamless integration of subcontractor activities into the overall project execution plan.
  • HSSE Compliance:
    Ensure all subcontractor operations adhere to site-specific HSSE (Health, Safety, Security & Environment) requirements and contribute to a safe working environment.
  • Support Project Delivery:
    Contribute to the successful and timely delivery of ancillary packages, supporting overall project milestones and client satisfaction

Responsibilities:
  • Administer and manage civil subcontract agreements for ancillary packages at the project site, ensuring full alignment with project goals.
  • Ensure all subcontracted works comply with contractual terms, project specifications, ADNOC requirements, and relevant standards.
  • Coordinate closely with engineering, procurement, construction, and commercial teams to ensure subcontractor activities align with project schedules and milestones.
  • Monitor subcontractor performance, progress, and deliverables to ensure timely, safe, and quality execution of civil works.
  • Review, verify, and process subcontractor invoices, variations, claims, and progress reports in accordance with contractual obligations.
  • Support the assessment and resolution of claims, disputes, and change orders in collaboration with the contracts and commercial teams.
  • Maintain organized and accurate records of subcontractor activities, contractual correspondence, and approvals, ensuring timely reporting to project management.
  • Participate in site meetings, inspections, progress reviews, and audits, providing commercial and contractual input where required.
  • Ensure subcontractor compliance with HSSE requirements, site safety rules, and civil construction safety standards at all times.
  • Contribute to the continuous improvement of subcontract administration processes, procedures, and documentation for enhanced project efficiency.

Qualifications



  • Bachelor’s degree in Civil Engineering, Quantity Surveying, Construction Management, or a related discipline.
  • Proven experience in subcontract administration for civil works within EPC, Oil & Gas, infrastructure, or ADNOC projects.
  • Strong understanding of contract terms and conditions, subcontract agreements, and commercial frameworks applicable to civil construction.
  • Hands-on experience in managing subcontractor performance, progress monitoring, and compliance with project schedules.
  • Solid knowledge of ADNOC Codes of Practice, project specifications, and civil engineering standards.
  • Proficient in reviewing and processing subcontractor invoices, variations, claims, and progress reports.
  • Strong capability in handling contractual correspondence, maintaining documentation, and supporting change management processes.
  • Excellent coordination skills with multidisciplinary project teams including engineering, procurement, construction, QA/QC, and HSSE.
  • Familiarity with site-based activities such as inspections, audits, and civil construction workflows.
  • Strong analytical, negotiation, and communication skills for resolving subcontract issues and facilitating project execution.
  • Proficiency in MS Office, especially Excel; experience with ERP systems or contract management tools is an advantage.
  • Commitment to HSSE compliance and safe work practices in subcontractor operations.
