Wood is currently recruiting for an experienced Site Subcontract Administrator-E&i with extensive experience in the oil and Gas industry to join EPCM team in Abu Dhabi within our Oil, Gas & New Energies business. Due to the nature of the projects and client expectation, the position will be based full time at Abu Dhabi at site.

The Role 



We are currently seeking a qualified and experienced Site-Based Subcontract Administrator to support the effective administration of subcontract agreements at the project site. This role is focused on managing ancillary subcontract packages, ensuring compliance with contractual obligations, and supporting the successful execution of site-based activities in alignment with project goals.


The ideal candidate will have a strong background in subcontract administration, site operations, and coordination with multidisciplinary teams. Familiarity with ADNOC procedures, FIDIC contracts, and site-based procurement and logistics is essential.

The key objectives for this role are:


  • Ensure accurate and timely administration of all ancillary subcontract packages in line with project requirements, contractual obligations, and ADNOC standards.
  • Monitor and enforce full compliance with FIDIC-based contracts, ensuring subcontractor activities align with scope, schedule, and quality expectations.
  • Maintain strong coordination with subcontractors and vendors, tracking performance and ensuring alignment with project KPIs.
  • Maintain complete and organized subcontract documentation, including progress reports, variations, claims, and approvals to ensure full transparency and audit readiness.
  • Support cost and risk management activities by identifying risks, managing variations, and assisting in dispute resolution processes.
  • Collaborate closely with engineering, procurement, construction, and commercial teams to integrate subcontractor activities seamlessly into the project execution plan.
  • Ensure adherence to HSSE requirements for all subcontractor operations, contributing to a safe and compliant work environment.
  • Support timely project delivery by contributing to successful execution of ancillary E&I packages and meeting overall project milestones.

Responsibilities:
  1. Administer all E&I subcontract packages, ensuring compliance with contractual terms, project requirements, and ADNOC specifications.
  2. Review subcontract agreements, scope of work, and technical documents to ensure subcontractors fully understand obligations and deliverables.
  3. Manage daily coordination with subcontractors, including work progress follow-ups, issue resolution, and schedule alignments.
  4. Monitor subcontractor performance against KPIs, productivity targets, quality standards, and project milestones.
  5. Evaluate, verify, and process subcontractor invoices, variations, and claims in accordance with project controls and contractual provisions.
  6. Maintain accurate records and documentation, including correspondence, progress reports, change orders, NCRs, approvals, and contractual communications.
  7. Support contract compliance efforts by ensuring all subcontractor activities adhere to FIDIC requirements, project procedures, and regulatory expectations.
  8. Coordinate cross-functionally with engineering, procurement, construction, QC/QA, and planning teams to align subcontractor progress with overall project execution.
  9. Assist in risk identification and mitigation, including delays, cost impacts, scope deviations, and interface conflicts.
  10. Participate in meetings, including progress review meetings, technical discussions, and commercial negotiations with subcontractors and internal teams.
  11. Ensure strict adherence to ADNOC HSSE standards, reporting unsafe activities and supporting a proactive safety culture on-site.
  12. Contribute to dispute resolution processes, gathering evidence, preparing documentation, and supporting commercial/contractual negotiation teams.
  13. Review subcontractor manpower, material submissions, method statements, schedules, and ensure alignment with project requirements.
  14. Support close‑out activities, including verification of final accounts, documentation handover, claims settlement, and contractual closure.
  15. Ensure transparency and audit readiness by maintaining an organized, accessible repository of all subcontract-related documents.

Qualifications


  • Bachelor’s degree in Electrical Engineering, Instrumentation Engineering, Mechanical Engineering, Quantity Surveying, Supply Chain, or a related discipline.
  • 8+ years of experience in subcontract administration, contract management, or commercial roles within the Oil & Gas, EPC, or major construction industry.
  • Strong knowledge of FIDIC contract conditions, ADNOC standards, and EPC project execution procedures.
  • Hands-on site-based experience managing E&I subcontractors, construction interfaces, and field-level coordination.
  • Proficiency in subcontract administration processes, including variations, claims, change management, evaluations, and cost control.
  • Solid understanding of E&I construction activities, work scopes, drawings, and technical documentation.
  • Excellent communication and negotiation skills for dealing with subcontractors, vendors, and cross‑functional project teams.
  • Strong documentation and reporting skills, with the ability to maintain accurate, audit-ready records.
  • Proficiency in relevant software, such as MS Office (Excel, Word), ERP systems (SAP / Oracle) and document control systems.
  • Knowledge of HSSE requirements, especially ADNOC or other major Oil & Gas operator safety standards.
  • Ability to work under pressure on fast‑paced site environments, handling multiple subcontracts simultaneously.
  • Strong analytical and problem‑solving abilities, especially in evaluating claims, cost impacts, and contractual risks.
