Strategy
- Ensure that departmental administrative activities are executed in line with establishedpolicies, quality standards, and information security requirements.
- Monitor the department’s KPIs and maintain readiness for audits, inspections, andcompliance reviews, ensuring documentation is accurate and up to date.
- Coordinate HR-related formalities such as onboarding, resignations, clearances, and trainingrecords to guarantee smooth workforce transitions.
- Advise managers on updates related to HR and administrative policies, ensuring alldepartmental practices remain compliant and current.
Operations
- Supervise daily office administration, including readiness of office supplies, functioning ofequipment, and maintaining a professional working environment.
- Review and approve correspondence, circulars, reports, and documentation prepared withinthe department before submission or distribution.
- Oversee and validate attendance records, leave requests, and related reports in time andattendance systems, ensuring accuracy and compliance with procedures.
- Maintain, verify, and update departmental records, invoices, receipts, permits, and inspectionfiles in both digital and physical archives.
- Coordinate the scheduling of meetings, preparation of agendas, recording of minutes, andfollow-up of actions to ensure effective departmental coordination.
- Provide support to managers in handling clerical workloads, including transcription, drafting ofofficial letters, and participation in internal meetings.
- Track and replenish office resources, stationery, and printed materials, ensuring availabilitywithout disruption to daily operations.
- Follow up with departments and external stakeholders to secure required documentation,approvals, and information in a timely manner.
Product / Process Improvement
- Maintain and regularly update databases and tracking systems to monitor administrativerecords, office resources, and documentation status.
- Review current clerical processes and recommend practical improvements to enhanceaccuracy, efficiency, and compliance with procedures.
- Ensure that any corrective actions resulting from audits, SLA reviews, or compliance checksare properly addressed and documented.
- Support the introduction and effective use of digital tools, automation systems, andknowledge management practices to improve departmental efficiency and accuracy.
- Bachelor's degree/Master’s degree in Business Administration, Office Management or Human Resources
- 0-1 Years in case of Master’s degree (2+ Years in case of Bachelor’s degree)
- Proficiency in core data analysis and reporting techniques
- Knowledge of general administrative practices and procedures
- Ability to manage internal communication effectively across teams
- Experience in coordinating internal logistics and operational support
- Skilled in systems and application management
- Competence in enterprise archiving, documentation, and compliance processes
- Understanding of governance and regulatory compliance frameworks
- Familiarity with HR laws, regulations, and organizational policies
- Ability to manage stakeholder relationships and integrate with developers or cross‑functional units
