Overview Of The Role:


  • The IFB Administrative Assistant provides vital support to the IKEA FOOD department through various administrative and system tasks, ensuring efficient operations and compliance with IKEA standards. The role involves coordinating ordering, stock management, financial processes, and supporting the IFB operations team in maintaining high standards of organization and communication. This role impacts commercial growth and coordinates closely with finance and IT departments to address operational challenges. Success in this position involves maintaining seamless food service operations, supporting profitability targets, and adhering to IKEA's brand and safety standards.


What You Will Do:


Operational


  • Ensure ordering and receiving procedures are completed according to IKEA FOOD requirements.
  • Implement monthly IFB stock take according to set guidelines.
  • Prepare monthly discrepancy and wastage reports; initiate control measures and follow-up.
  • Process and document supplier invoices in the NAVISON system.
  • Log and generate all approved recipes and IKEA FOOD range in the NAVISON system.
  • Activate Menu buttons for the POS terminals.
  • Coordinate with IT regarding IFB system issues and concerns.
  • Maintain cleanliness and organization of the IFB Office and IKEA supplies and storages.
  • Monitor supplies within office budget guidelines.
  • Ensure day-to-day functions of store keepers are carried out in the department.
  • Assist the IFB team with requisition, design, and implementation of communication programs.
  • Receive important documents, mail, and ordered supplies.
  • Undertake senior responsibilities as required by IFB operations.


Commercial Growth Review


  • Coordinate and review annual objectives.
  • Monitor monthly KPIs.
  • Analyze IFB profit and loss.
  • Conduct ICSS and CSI reviews.


Financial


  • Coordinate with Cash Office and Finance for invoice payments and follow-up.


Skills

What Qualifies You For The Role:


  • High School/Trade School Graduate.
  • 3 to 5 years of experience in a similar role.
  • Proficiency in advanced computer operations, especially NAVISON systems.
  • Strong communication and interpersonal skills.
