Business Development Administrator (Sales Support) – Digital Media Agency | Dubai
A well-established digital media agency in Dubai is hiring a Business Development Administrator to provide structured, high-quality administrative support to the commercial function. This role is focused on sales coordination, documentation, CRM hygiene, and internal process support (not a sales/closing role).
Key responsibilities
- Maintain accurate CRM records (leads, contacts, opportunities, activities) and ensure data quality
- Support the end-to-end sales administration process: enquiry logging, follow-up scheduling, and status tracking
- Prepare and format sales documentation including proposals, quotations, capability decks, and client onboarding packs (using approved templates)
- Coordinate internal inputs for proposals (scope, timelines, pricing, credentials) and manage version control
- Schedule client and internal meetings, circulate agendas, capture actions, and track completion
- Manage tender / vendor registration documentation and ensure submissions are complete and on time
- Produce weekly sales support reports (pipeline status, activity logs, outstanding actions, documentation tracker)
- Support basic contract administration (document collation, signatures, filing) in line with internal policies
Requirements
- 2+ years’ experience in sales administration, business development support, or commercial coordination
- Strong written and verbal English with professional email etiquette
- High attention to detail and strong document formatting skills (PowerPoint and Excel/Sheets essential)
- Confident working with CRM systems (HubSpot/Salesforce/Zoho/Pipedrive or similar)
- Strong organisational skills, ability to prioritise, and comfort working to deadlines
- Discreet and professional approach when handling sensitive commercial information
Preferred
- Experience supporting a sales team within an agency, professional services, or B2B environment
Familiarity with proposal/tender processes and document control standards
