Job Summary

Over all responsible for supporting administrative operations. The role ensures seamless day-to-day functioning of administrative processes for a consolidated workforce of approximately 600 employees in ERCO bulding. It is pivotal to maintaining regulatory compliance, operational continuity, and enhancing employee experience.




Roles & Responsibilities

  • Ensure cleanliness and hygiene across all ERCO premises.

  • Monitor and maintain inventory of administrative supplies.

  • Coordinate with suppliers for quotations and procurement related to admin tasks.

  • Arrange drivers for official requirements. Manage visa renewals and cancellations for ERCO employees.

  • Organize hotel bookings and transportation for guests and new joiners.

  • Arrange food card medical documents for renewal/new applications.

  • Link insurance cards for visa renewals (if applicable).

  • Update ILOE (Unemployment Insurance) files for ERCO & R&D employees.

  • Manage uniform/lab coat distribution for employees.

  • Apply daily gate passes for guests as required.

  • Support onboarding formalities for new joiners.

  • Handle offboarding tasks for non-management employees.

  • Create and replace FAB cards for employees

  • Apply insurance cards for new joiners and family members (if applicable).

  • Arrange ticket bookings for resigning/terminating employees and new joiners.

  • Maintain attendance records for Admin and HR teams, including OT hours, for payroll processing.

  • Address employee queries, providing accurate information and resolving issues.

  • MIS Working: Consolidate and maintain complete data for all admin expenses, update daily expense tracker, perform reconciliation, and assist admin management.

  • Casual Labor Supply Management: Verify departmental requests and approvals, coordinate with suppliers, ensure proper deployment



KPIs

  • Cleanliness & Hygiene Compliance: 100% adherence to hygiene standards across premises.

  • Inventory Accuracy: Maintain optimal stock levels with <5% variance.

  • Supplier Coordination Efficiency: Quotations and procurement completed within defined timelines.

  • Visa Processing Turnaround: Completion within SLA timelines.

  • Guest & New Joiner Logistics: 100% timely arrangement of hotel and transport.

  • Uniform Distribution: Fulfillment as per the order timelines.

  • Gate Pass Management: Zero delays or denials due to administrative lapses.

  • Insurance Processing: 100% accuracy and timely renewals.

  • Travel Booking: Submitting request on Zoho within 24 hours of receiving request.

  • Onboarding & Offboarding Support: Seamless coordination with HR for employee lifecycle processes.

  • Attendance Accuracy: 100% accurate records for payroll processing.

  • Query Resolution: Timely and satisfactory resolution of employee queries. 



Work experience requirement

Minimum 3–5 years of experience in facility management, administration, or HR support roles. Experience in handling large-scale administrative operations in corporate environments.




Qualification

Bachelor’s Degree or Diploma in Business Administration, Logistics, or any related field; additional experience in SAP or related fields is a plus.
