Roles & Responsibilities
Provide comprehensive administrative and secretarial support to the Executive Board Member.
Manage and coordinate calendars, appointments, and detailed travel arrangements, including flights, visas, accommodation, and itineraries.
Act as the primary point of contact between the executive and internal/external stakeholders, ensuring smooth communication and follow-ups.
Organize and schedule meetings, prepare agendas, attend meetings, record accurate minutes, and ensure timely distribution and follow-up on action items.
Prepare, draft, format, and proofread correspondence, presentations, reports, and official documents, often of a highly confidential and sensitive nature.
Screen and manage telephone calls and emails, handling inquiries with professionalism, discretion, and sound judgment.
Prioritize tasks and manage sensitive information with the highest level of confidentiality.
Maintain organized physical and digital filing systems, ensuring all records, reports, and documents are easily accessible.
Liaise with internal departments and external partners to coordinate meetings, communications, and logistics.
Organize and schedule meetings, prepare agendas, attend meetings, record accurate Minutes of Meeting (MOMs), ensure timely circulation, and follow up on action items.
Perform other duties as assigned by the Executive Board Member, including but not limited to supporting Management Office activities.
Desired Candidate Profile
Bachelor’s degree in business administration or relative field
Minimum two (2) to three (3) years of experience as an Executive Assistant or Secretary.
Ability to comprehend varied activities of a large organization to manage the volume of requirements passing through the Office of the Executive Board Member.
