Executive Assistant

Job Summary: The Executive Assistant will provide high-level administrative support to the executive team, ensuring smooth and efficient operations. The role requires a proactive and detail-oriented professional who can handle a wide range of administrative and executive support tasks. The Executive Assistant will act as a liaison between the executives and internal/external stakeholders, manage schedules, coordinate meetings, and handle confidential information with discretion.

Key Responsibilities:

  • Administrative Support:
  • Manage and maintain executives’ schedules, including appointments, meetings, and demo sessions.
  • Prepare and edit correspondence, reports, presentations, and other documents as required.
  • Handle incoming and outgoing communications on behalf of the executives.
  • Organize and maintain files and records, both electronic and physical.
  • Meeting and Demo Sessions Coordination:
  • Schedule, coordinate, and prepare for meetings and demo sessions, including agendas, minutes, and follow-ups.
  • Assist in the preparation of materials for demo sessions, executive meetings, and other key events.
  • Communication and Liaison:
  • Act as a point of contact between the executives and internal/external stakeholders and keep update the company CRM system.
  • Manage the assigned email inbox and prioritize communications.
  • Ensure timely and accurate communication of information to and from the executives.
  • Marketing Support:
  • Assist with special marketing routines as assigned by the manager.
  • Conduct research, compile data, and prepare reports for consideration and presentation.
  • Coordinate and manage events, conferences, and other corporate functions.
  • Office Management:
  • Oversee office supplies and equipment inventory, ensuring availability and functionality.
  • Assist with onboarding of new employees and coordinate office events.
  • Provide general support to visitors and ensure a welcoming environment.


Skills

  • Proven experience as an executive assistant or other relevant administrative support experience.
  • Streamlining in-house processes by defining daily tasks with utmost clarity and precision.
  • Must be well versed with Microsoft Office tools.
  • Adroit communicator willing to share insights with the admin department and deduce logical outcomes.
  • Showing utmost diligence towards routine tasks with accurate presentation of information.
  • Adept in using security measures to safeguard company data from outside intruders.
