Our client is looking for a smart and proactive Executive Assistant to be based in Dubai, UAE.
Responsibilities:
- Overall responsibility of comprehensively supporting the President’s office with correspondence, meetings, schedules and internal / external communication and liaison.
- Serves as the primary point of contact for internal and external stakeholders on all matters pertaining to the President’s office.
- Creating and maintaining cross-departmental relationships and communication on behalf of the President.
- Responsible for communicating updates, information, and changes. May be appointed as a delegate to participate in meetings.
- Meeting coordination: Coordinates and assists in ensuring that meeting agenda and requirements are accurate, and all details are complete according to the specific needs of the meeting.
- Administrative management: Manage administrative functions, such as the preparation and formatting of any written communication, reporting, or presentation.
- Calendar management: Sets the calendar and has ownership of the daily itinerary as well as any meeting deliverables, communications, or follow up.
- Travel management: Manage all details for travel, including intricate travel details including flight, VISAs (as necessary), accommodation, time zone considerations, and on the ground travel requirements.
- Ability to work strategically and collaboratively across departments.
- Overall responsibility of comprehensively supporting the C-suite with correspondence, meetings, schedules and internal / external communication and liaison.
- Creating and maintaining cross-departmental relationships and communication on behalf of the C-suite executives.
- Building strong and collaborative relationships with other internal stakeholders
- Aiding in and ultimately ensuring the timely completion of projects through reports / dashboards / MIS
- Manage the status, resources, and timelines for all items, and work with management and internal teams to provide updates on issues and advance same.
- Collate information from internal stakeholders / heads of departments / functional heads.
Key Requirements:
- Bachelor’s or master’s degree in finance, business administration, or related field.
- Strong track record of success in a role including prior experience as Executive Assistant.
- Minimum 5 years of experience as an Executive Assistant reporting to C-suite
- Proven track record of effectively interacting with senior management.
- Adept at building relationships both internally and externally to leverage resources when needed.
- Highly goal oriented and possess excellent interpersonal & communication skills.
- Effective, versatile, and action-oriented
- Discretion and confidentiality.
- Ability to conduct research and present data in a concise and well-written manner.
- Excellent MS Office knowledge (Must be highly proficient in Excel & PowerPoint)
- Outstanding organizational and time management skills
- Strategic thinker & problem solver with the ability to be hands-on
