Job Description:
We are seeking an experienced and proactive Office Administrator to oversee and manage day-to-day administrative tasks, ensuring our office runs smoothly and efficiently. This role is vital to maintaining an organised, productive, and positive work environment.
Key Responsibilities:
- Oversee the day-to-day functioning of the office, ensuring that administrative processes run smoothly.
- Oversee, schedule, and assign staff to different projects.
- Handle incoming and outgoing communication, including phone calls, emails, and mail.
- Handle customer inquiries and resolve issues promptly in collaboration with the management, maintaining high levels of customer satisfaction.
- Manage the executive's calendar, including scheduling and coordinating appointments and meetings.
- Manage office supplies inventory, ordering, and maintaining stock levels.
- Organize and coordinate meetings, appointments, and travel arrangements for staff.
- Assist with document management, including filing, data entry, and maintaining company records.
- Process invoices, expenses, and payments in collaboration with the accounting team.
- Coordinate with building management for office maintenance and repairs
- Support the HR management in tasks such as managing employee records.
- Coordinate with external vendors and service providers for office maintenance and other needs.
- Handle confidential information with discretion and maintain a high level of professionalism.
- Perform general office support and other administrative duties as assigned.

Skills
Qualifications:
- Fluent English proficiency is a must, both written and spoken. Additional language skills are a plus.
- At least 3 years proven experience as an office administrator or in a similar role.
- Familiarity with freezone laws, regulations, and procedures, including visa processing and compliance requirements.
- Prior experience working within a freezone, or Dubai Airport Freezone (DAFZA) is a significant plus.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organisational and multitasking skills with attention to detail.
- Excellent communication and interpersonal skills.
- Provides excellent customer service.
- A proactive, problem-solving attitude and the ability to work independently.
- Industry experience is a plus.
- Bachelor’s degree in Business Administration or a related field is preferred, but not mandatory.
