Job Overview:

The Administrative Assistant will support to shortcut the process in Commercial Department. This role is vital in ensuring that all real estate transactions and projects are executed efficiently and effectively. All necessary documentations and communications are managed accurately, by coordinating and following with the different departments. The ideal candidate is detail-oriented, organized, and capable of handling multiple tasks in a fast-paced environment.


What you’ll do:

  • Administrative Support: Assist with day-to-day operations, coordinating between different departments, including managing calendars, scheduling meetings, preparing documents like related form etc…, and handling correspondence for the commercial real estate team.
  • Document Management: Organize, maintain, and update files related to commercial real estate transactions, including leases, contracts, property records, and legal documents, filing following the suggest attached structure, following the NOC and agreement with the landlord office cooperating with the team and following up the renewal process.
  • Transaction Coordination: Assist in the preparation and processing of documents related to property sale and lease agreements, and other transactions.
  • Database Management: Maintain and update CRM systems (related to her role), property management software, and other databases to ensure all information is current and accurate.
  • Financial Administration: Assist in the preparation of budgets, financial reports, and invoices related to commercial real estate transactions.
  • Compliance and Reporting: Ensure all transactions comply with relevant regulations and company policies. Prepare reports and summaries for management as required.
  • Project Assistance: Provide support in the management of commercial real estate projects, including tracking progress, and ensuring deadlines are met.
  • Market Research: Assist in gathering and analysing market data to support decision-making processes in real estate transactions, prepare a database for all landlords and clients for us to increase the sales transaction.
  • Event Coordination: Organize and coordinate meetings, conferences, and other events related to commercial real estate activities.



Professional Requirements:

  • 2-4 years of experience in a similar administrative role, preferably in commercial real estate or property management.
  • Strong organizational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with real estate software (CRMs).
  • Ability to manage sensitive information with confidentiality.
  • Strong attention to detail and problem-solving skills.
  • Knowledge of commercial real estate terminology and processes.
