Role in Event Operations

Role Brief:

We are seeking an experienced Events Management Specialist to lead the planning, execution, and management of high-profile mega events. The ideal candidate will have extensive experience in managing large-scale events involving significant logistics, multiple stakeholders and substantial budgets. This position requires strong leadership, organizational and problem-solving skills.


Key Responsibilities:


Event Planning and Strategy:

  • Develop a comprehensive event plan, including concept development, budget management, scheduling and resource allocation.
  • Collaborate with clients and stakeholders to define event objectives, scope, and success metrics.
  • Create event themes, branding, and promotional strategies aligned with the overall event vision.


Project Management:

  • Oversee all aspects of event production, including timelines, venue selection, catering, permits, and audiovisual requirements.
  • Lead cross-functional teams, including event planners, vendors, suppliers, and contractors, to ensure smooth event execution.


Logistics Management:

  • Coordinate large-scale logistics, including transportation, on-site management, crowd control, security, and risk management.
  • Develop contingency plans and manage potential issues during events to ensure the safety of attendees and a positive experience.
  • Ensure all relevant permits, insurance, and health and safety requirements are met.


Budget and Financial Oversight:

  • Develop and manage event budgets, ensuring that projects are delivered on time and within budget.
  • Negotiate contracts with suppliers and vendors to optimize cost efficiency.
  • Track and reconcile event-related expenditures and provide financial reporting to stakeholders.


Stakeholder and Client Management:

  • Serve as the primary point of contact for clients, sponsors, and key stakeholders throughout the event lifecycle.
  • Build and maintain long-term relationships with stakeholders to facilitate future event opportunities.
  • Prepare and deliver presentations, progress reports and post-event evaluations.


Key Requirements:

  • Minimum 3-5 years of experience within events with exposure to large scale projects.
  • Strategic aptitude, budgeting and project management skills.
  • Strong leadership and client-service skills, with proven ability to lead people as well as plan and implement successful marketing strategies.
  • Highly motivated with strong personal work ethic and ability to have strong customer service attitude with all employees.
  • Strong interpersonal and negotiation skills.
