  • Creating, following, and improving document control procedures
  • Coordinate all activities related to the Document Control procedure, including technical documents, and drawings
  • Input document data into the standard registers ensuring that the information is accurate and up to date. 
  • Generate the various document control reports as required,
  • Revise documents from Engineers’ inputs as needed,
  • Makes sure that controlled copies of latest approved documents and drawings are given to the appropriate staff, subcontractors and suppliers as applicable
  • Maintain updated records of all approved documents and drawings and their distribution clearly
  • Maintain the documents and drawings in the Document Control office under safe custody without any damage or deterioration with easy traceability
  • Maintain the files and control logs as required by the project
  • Ensuring that documents are distributed / shared to projects team at key times to facilitate timely project completion
  • File documents in physical and digital records
  • Create document control templates (using Microsoft Excel)
  • Retrieve files as requested
  • Manage and keep track the flow of documentations
  • Producing document progress reports for managers
  • Helping in the planning stages of a specific project
  • Ensuring all documentation meets formal requirements and required standards
  • Working from office close to projects team
  • Conducting regular reviews and document audits with projects team
  • Understands and adheres to all company health and safety procedures as they relate to essential functions.

Skills

  • Bachelor degree in Engineering or similar
  • Some related work experience in office work, documentation, and control
  • Knowledge of Engineering disciplines like Mechanical, Electrical
  • Candidate must have a minimum of two years of work experience in document or records management preferably with Oil & Gas EPC contractors
  • Knowledge in use of spreadsheets, database, word processing and selected job specific software
  • Ability to keep clear and accurate records and reports
  • Ability to use computer and rapidly input data and retrieve records and information
  • Ability to organize workload and to manage a filing methods and management techniques
  • Good Communication skills
  • Fluent of the English language.
