Join our dynamic private banking team as a Business Assistant, where you'll manage executive tasks and drive organizational success!
As a Business Assistant within our private banking team, you will be an integral part of a high-paced, deadline-promoten organization. Your role will involve a variety of tasks including managing complex calendars, coordinating meetings, arranging travel, and processing invoices. You will interact with executive level internal clients across various lines of business and will need to adapt procedures, processes, and techniques to align with the department's activities and goals.
Job Responsibilities
- Maintains complex and detailed calendars, assists in editing spreadsheets and presentations, including printing and binding, for client meetings
- Screens incoming calls and determines the level of priority, while using caution in dispensing information
- Manages the coordination and logistics of both internal and external meetings
- Arranges and coordinates complicated domestic and international travel
- Organizes all aspects for offsite conferences and external events, including catering and transportation
- Processes invoices and Travel & expense claims for team members
- Assists with staff on-boarding and off-boarding, which includes requesting equipment setup and system access
- Produces high quality emails and messages to individuals at all levels of the organization
- Maintains current organizational charts and Executive Bio’s
- Handles regular activities without prompting, and advise in advance with issues or delays
- Works cooperatively with the administrative assistants team, in positive partnership to support each other smoothly
Required Qualifications, Capabilities, And Skills
- At least five years of administrative experience, ideally supporting at the Managing Director level (or equivalent) or above
- Advanced ability to organize
- Tact and good judgment in confidential situations, and proven experience interacting with senior management
- Strong interpersonal, written, and oral communication skills
- Strong proficiency in Microsoft Office
- Excellent telephone etiquette and ability to manage competing priorities i.e. calendar management
- College degree
