Overview of the role
The Office Manager/Executive Assistant supports the MD and the team and manages the day-to-day office operations. Interacting with Sheffield Haworth global offices and working as part of an EA/OM team. The role is to assist the team with all their administrative needs in addition to working with the wider operations team to assist in supporting the smooth running of the Dubai office.
Key Responsibilities:
- MD's Diary management and organising travel arrangements and itineraries
- Managing clients and vendor documentation
- Maintaining the Company Databases as required
- Demonstrates compliance with GDPR regulations
- Manages the financial aspects of the billing process, including expense processing
- Support the integration of new hires by coordinating induction itineraries, with input from team
- Managing healthcare and Visa renewals for the team
- Meet and greet clients and candidates and prepare refreshments
- Manage the office diary and all meeting room bookings
- Set up meeting rooms for internal meetings including AV equipment
- Ensuring stocks for sundries and stationery are regularly replenished and stored
- Booking of couriers and making sure all post is franked
- Responsible for security control/access passes for all employees/ visitors
- Answering and directing all queries received via email or telephone as needed
- General administration support according to the needs of the team including facility management

Skills & Experience
- Proven track record in a team assistant, office manager, executive assistant or coordination role
- Excellent IT skills are essential, including advanced knowledge of Word, Excel, Outlook and Power Point.
- The successful applicant will be able to demonstrate effective prioritisation and time management skills
