Job Description
This role is based in our Dubai office.
The Opportunity We have an exciting opportunity for an experienced Executive Assistant to the in D CEO and CFO to join our leadership team. As an integral part of the in D team, you will provide comprehensive secretarial and administrative support to the CEO and CFO, ensuring the smooth operation of the office through effective planning, efficient administrative systems, and strong team coordination. We are looking for a collaborative individual who thrives on teamwork yet possesses the drive and independence to take the initiative. In this role, you will proactively and confidently navigate a variety of people, tasks, and situations. Juggling multiple priorities will be second nature to you, and you'll relish the opportunity to excel in a fast-paced environment.
Key Responsibilities Executive Support Manage complex diaries across multiple time zones with advanced MS Outlook proficiency Manage mailboxes with efficiency and discretion at all times Answer multiple phone lines and take messages as necessary Process invoices via SAP & Oracle (online system) - training provided Process expenses via an online system - training provided Arrange both internal and external meetings, collating and issuing agendas when required Book meeting rooms, including refreshments, and arrange lunches for internal meetings Notify Front of House of external visitors Organize global conference calls (audio and video) across different time zones Arrange extensive domestic and international travel, accommodation and visa arrangements Provide personal administration support, as required Prepare presentations, often at short notice (intermediate to advanced MS Power Point skills) Prepare reports using advanced MS Word capabilities Provide ad hoc support to the broader leadership team Leadership & Relationships Build strong relationships with all levels across the entire Group and key external stakeholders, both in the Middle East and internationally Develop key relationships with EA/PAs across in D, the Informa Group and DWTCProvide flexibility to cover team EAs absence as and when required Foster a collaborative, high-performing team environment
Qualifications
About You Essential Skills & Experience Experience supporting C-level executives in a listed company Excellent verbal and written communication skills Strong interpersonal skills with an emphasis on working within a team-spirited environment High standards of accuracy, quality and attention to detail Willingness to provide and accept feedback Strong literacy and verbal reasoning skills Proficient computer skills, including Microsoft Office Suite (Word, Power Point, and Excel) Advanced MS Outlook and MS Word essential, intermediate to advanced MS Power Point preferred Strong planning and organizational skills, able to adapt and respond to the unexpected Confident, proactive, self-motivated and organized approach Reliable, responsive, discreet, confidential and diplomatic Calm under pressure of short deadlines and unexpected change of plans Comfortable in a fast-paced environment with multiple tasks and projects at hand Ability to structure own time and create transparent approach to workflow management Problem-solving/solution orientation Good eye for detail and commitment to high-quality outcomes
