The Admin Executive is responsible for managing front-office and back-office operations, coordinating with vendors, supporting internal teams for daily administrative tasks, and providing executive assistance for the Department Heads. The role ensures smooth office operations, time management and professional service delivery. Key Responsibilities1. Front Office Management Serve as the first point of contact for visitors, employees, and external stakeholders. Manage reception duties including greeting guests, answering calls, calendar management and handling inquiries. Maintain a professional, organized, and welcoming front-office environment Maintain, organize and update filing systems (digital and physical) with confidentiality. Support daily administrative tasks such as scanning, printing, documentation, and data entry.2. Back Office Support Collaborate with internal department for general support when needed. Assist with employee reimbursements and payment coordination. Monitor office supplies and ensure timely replenishment. Support company events, training sessions, and internal meetings. Provide general administrative support to all departments as required. Maintain database and access log in report for future requirements.3. Cross-functional Department Coordination MD’s Office – manage calendar appointments, meeting schedules with accuracy, arrange travel bookings including flights, hotels and transportation. Asset Management – maintain updated records of property leases, tenancy contracts and renewal details. HR Support – onboarding/offboarding documentation, company back-end support. IT Coordination – support employees for daily operational needs and ensure smooth office essential setup is met. Finance & Accounts – source and evaluate quotations, perform cost comparison, and reimbursement submission for approval and regular payment process. IR & Marketing Support – maintain CRM and procure company assets and collaterals.4. Procurement and Vendor Management Coordinate with vendors for office supplies, maintenance, repairs, and service requests. Track vendor contracts, renewals, and service quality. Ensure timely delivery of goods and services and resolve any issues. Liaise with logistic vendors, courier companies, and service providers to ensure timely and quality of shipments. Procure office supplies, equipment, and operational materials through online platforms such as Amazon, Noon, and other approved e-commerce services. Build and nurture long-term vendor relationship to support smooth office operations, timely deliveries, and cost-effective procurement.
