Roles & Responsibilities

  • Maintain and organize engineering documents, drawings, and specifications

  • Support project managers in coordinating tasks and schedules

  • Proficiency in data entry software and tools (e.g. Word, Microsoft Excel, Data entry software)

  • Controlled the flow of documents in and out of the department, managing email correspondence, telephone confirmations, and document filing per project requirements

  • Typed and prepared outgoing correspondence for consultants and subcontractors to ensure

    professional communication.

  • Gathered invoices, statements, reports, personal details, and other critical documentation from employees, departments, and clients to maintain comprehensive records.

  • Maintained accurate logs and filing systems for project documents, updated drawing registers, and tracked submittal documents.

  • Maintained and organized engineering documents, including drawings and specifications, to ensure accessibility and compliance.

  • Support QA/QC documentation by organizing inspection reports, material approvals, and compliance records.

  • Archived and filed incoming documents from consultants systematically for easy retrieval and secure storage.

  • Monitor and follow up on pending approvals and document status, ensuring deadlines are met.

  • Provided administrative support to project teams, including report preparation, meeting organization, and maintaining project schedules.

Desired Candidate Profile

  • Bachelor's degree in a relevant field such as Business Administration, Information Management, or Engineering is preferred.
  • A minimum of 3 years of experience in document control within the construction or engineering industry is essential.
  • Certifications in Document Control or Project Management (e.g., PMP, ISO are highly regarded.
  • Proficient in document management software (e.g., Aconex, SharePoint) and MS Office Suite is a must.
