This position is ideal for someone is passionate about providing support across both executive and family affairs. The role requires a very high level of flexibility, and proactiveness.

Key Responsibilities:

  • Manage the CEO’s daily calendar, appointments, meetings, and travel arrangements (some responsibilities will be shared with his EA).

  • Coordinate personal and business schedules efficiently.

  • Organize local and international travel for his family.

  • Coordinate with household staff, drivers, suppliers, contractors, and service providers.

  • Manage family schedules, appointments, school activities, medical appointments, and personal commitments.

  • Follow up with him on pending tasks and ensure deadlines are met.

  • Assist the family with property management, maintenance, and household administration when required.

  • Handle banking, bill payments, renewals, subscriptions, and documentation as instructed.

  • Liaise with government authorities, banks, embassies, and other external organizations.

  • Coordinate events, family gatherings, business meetings, and special occasions.

  • Maintain accurate records, filing systems, and important documents.

  • Source quotations, negotiate with vendors, and oversee procurement when necessary.

  • Monitor ongoing projects and provide regular progress updates to the CEO.

  • Anticipate the CEO’s needs and resolve issues proactively - very important.

  • Be available to handle urgent matters outside normal office hours when required (flexibility is imperative).

Requirements:

Bachelor’s degree is very advantageous.

Minimum 3 to 5 years of experience as a Personal Assistant.

Exceptional written and verbal communication skills in English

Highly organized with exceptional attention to detail.

Strong multitasking abilities. Professional appearance and positive attitude.

Ability to work independently with minimal supervision.

High level of integrity, honesty, and confidentiality.

Strong problem solving abilities.

Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and Google Workspace.

Experience coordinating travel and managing calendars.
