Responsibilities
- Deal with all enquiries in a professional and courteous manner, in person, on the telephone or via e-mail.
- Receive and correctly route incoming and outgoing telephone calls at the EPABX.
- Take and distribute messages and memos accurately and in a timely manner.
- Respond to routine inquiries from internal or external sources, e.g. the organization’s location, hours of operation, phone numbers, email address, etc.
- Greet visitors politely, determine the nature of their visit, issue visitor passes and maintain visitor logs.
- Alert concerned person of visitor’s arrival, and direct visitors to appropriate office, department or employee.
- Administers all reservations, cancellations and no-shows, in line with company policy.
- Fulfil all reasonable requests from guests to ensure their comfort, satisfaction and safety.
- Perform miscellaneous administrative activities such as booking meeting rooms, typing, organizing and distributing mail & packets, receiving and sending courier packages, etc.
- Check and sign for deliveries, and inform concerned person of its arrival.
- Log extension changes, new extensions, etc., and communicate to all staff accordingly.
- Maintain discretion and confidentiality in all interactions.
- Based on receipt of request form, book couriers and taxis on behalf of members of staff.
Qualifications
Minimum Qualifications:
- Diploma in Business Administration or equivalent
Minimum Experience
- 1 - 2 years of related experience in the IT industry

- Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint, Access)
- Well-organized, efficient and self-motivated
- Skilled with computer systems
- Polished communication skills
- Firm sense of responsibility
- Ability to maintain high level of confidentiality
- Ability to work independently with little direct supervision
