ROLE
Reception
• Booking of the meeting rooms in Outlook calendar.
• Manage the Aramex & DHL work account, scheduling, packaging, and tracking.
• Project support in document control department like checking of register, drawings, and transferring it to
excel file.
• Assisting the Accounts in filing and scanning the files plus labelling of folders.
• Doc scanning for HR/ Assisting the HR team with all of interviews coming.
• Maintaining office supplies/ toiletries.
• Communicating with the security guards if needed
• Coordinating with the company driver
CPDs and Training
• Arrange training and CPDs when requested by Management.
• Provide feedback forms to all employees attending CPDs and trainings.
• Maintain a schedule all of CPDs and trainings.
• Maintain a schedule of all requested training and provide quotations for these trainings to management.
Travel, Accommodation and Transportation
• Should an employee be joining the company from overseas ensure all travel is arranged for them.
• Liaise with travel agency for any travel recruitment for the employees and/or senior management
• Liaise with transport agencies for any transportation requirements for the employees and/or senior
management
• Ensure all invoices and costs are consolidated and sent to Finance and paid on time
• Liaise with hotels and/or booking agencies for any accommodation requirements
Additional Roles
• Apply for new employees Society of Engineers memberships (if relevant). Renew existing employees Society
of Engineers memberships. Maintain a schedule of these memberships.
