The Executive Assistant will provide comprehensive administrative support to the CEO’s office, supporting the efficient operation of the department. This role requires project management coordination, handling confidential matters, coordinating communications, and assisting with special projects.

Responsibilities
Communication and Representation
- Provides a communication bridge between the CEO's office and business verticals + corporate staff, maintaining credibility, trust, and support with senior management.
- Presents information to key stakeholders as per the CEO’s office request.
Strategic Support and Project Management
- Prepare accurate documents for meetings, including reports and presentations and record minutes of the meeting to develop a comprehensive project plan, follow up and liaise with internal and external stakeholders on action items.
- Tracks senior team deliverables at the request of the CEO’s office, ensuring tasks are completed and deadlines are met.
- Prioritizes conflicting needs, handles matters proactively, and ensures follow-through on projects to successful completion, often under deadline pressures.
Administrative and Operational Support
- Efficiently support the CEO’s office in its agenda schedule, prioritize urgent and complex issues, and ensure timely availability of relevant reports and documents.
- Conduct daily briefings with the CEO’s office, review documents for his approval, provide updates on new or ongoing activities, and address follow-up requirements. Helps optimizing the CEO’s office time by highlighting and addressing urgent or priority issues.
- Completes critical deliverables with a hands-on approach, including drafting letters, memos and personal/confidential correspondence to facilitate the CEO's office leadership.
- Completes a variety of administrative tasks for the CEO and compiling documents for business-related travels.
- Ensuring that all required sign-offs are captured accurately and promptly.
- Maintain strict adherence to the established validation process, ensuring compliance with organizational standards.
Qualifications
- Bachelors/Master’s in business administration or equivalent
- Minimum 6-8 years of experience in a similar role
- Experience in the Supply-chain industry is an added advantage
- Experience managing multiple stakeholders in a large, multinational company.
- PMP certification preferable
- Strong computer literacy and knowledge.
- High standards of verbal and written communication in English.
- Proactive and motivated with strong communication skills and multitasking abilities.
- Excellent planning and organizational skills with the ability to manage time effectively.
- Ability to collaborate cross-functionally, manage conflict positively, and adapt to change.
